Job Summary
The Office Manager is responsible for coordinating and performing administrative, financial, and operational duties to support the daily functions of the Comprehensive Services Center (CSC). This position ensures efficient office operations, quality customer service, accurate financial processes, and effective supervision of administrative staff.
 
Responsibilities 
Financial Services
  • Completes financial intakes, including insurance verification for new individuals served, and educates individuals on the agency's sliding fee scale.
  • Oversees the collection of co-pays and other fees and ensures timely transfer of funds to the Business Office.
  • Coordinates with insurance carriers to obtain authorizations and pre-certifications.
  • Maintains communication with insurance companies to secure authorizations and maximize claim approvals.
  • Reports utilization information internally and to third-party payers as required.
  • Maintains systems for tracking authorized and utilized service units.
CSC Services
  • Maintains CSC schedules for appointments, meetings, supervision, consultations, and intakes.
  • Coordinates the intake process for individuals seeking services at the CSC.
  • Conducts screenings for counseling and medication management referrals and ensures appointments are scheduled appropriately.
  • Provides referral information to callers who do not meet agency eligibility criteria and assists existing individuals served when insurance changes require a change in provider.
  • Reviews and corrects daily billing error reports to ensure accurate documentation and reimbursement.
Staff Monitoring and Development
  • Directs, supervises, and coordinates the daily activities of office support staff.
  • Assists with recruitment, hiring, onboarding, retention, performance evaluations, and employee relations in collaboration with leadership and the Human Resources Department.
  • Identifies staff development needs and coordinates training and in-service education on job-related topics.
  • Promotes a positive, professional, and customer-focused work environment.
Qualifications
  • High School Diploma or equivalent required; Associate degree or coursework in business administration or a related field preferred.
  • Minimum of two (2) years of experience in a healthcare, behavioral health, or medical office setting required.
  • Minimum of one (1) year of supervisory experience required.
  • Ability to effectively operate a multi-line telephone and paging system.
  • Proficiency in Microsoft Office programs and use of the Internet.
  • Ability to demonstrate proficiency in the MHRC Electronic Health Record (EHR) system within three (3) months of employment.
Position Details
This position is a Full Time Days position: Monday through Friday, 8:00am to 4:30pm.

Founded in Jacksonville in May 1977, Mental Health Resource Center, Inc. (MHRC) is a Florida not-for-profit corporation that provides a wide range of behavioral health and social services to the community.  Included in MHRC’s service array are 24-hour emergency services; inpatient psychiatric services for children, adolescents and adults; and numerous outpatient services, including medication management, case management, counseling, supported housing, psychosocial rehabilitation, two programs for the homeless, a therapeutic family program, state hospital liaison services, forensic services, in-jail services, and nine Florida Assertive Community Treatment (FACT) programs for adults with severe and persistent mental illness located in Clearwater, Gainesville, Jacksonville, Kissimmee, Naples, Rockledge, Tampa, and Winter Haven. 

Since 1989, MHRC’s programs have been fully accredited by The Joint Commission.  Inpatient services are licensed by the State of Florida, Agency for Health Care Administration.  MHRC is a certified agency of United Way of Northeast Florida.      

MHRC accepts and directly bills most insurance plans, including Medicaid, Medicare and most private insurance plans.  Individuals who do not have health insurance and cannot afford our standard rates may be eligible for a reduced fee, depending on their income and number of household members.  Some MHRC programs are funded in part by the Florida Department of Children and Families (DCF) and its managing entities, LSF Health Systems, Central Florida Behavioral Health Network, and Central Florida Cares Health System; the federal government; and the City of Jacksonville.
