Position Overview:
As an Operations Support Specialist, you’ll play a key role in providing clerical and administrative support to the Operations Department and other supporting positions, to serve as a liaison between internal and external customers, and to meet, greet, and direct external customers and visitors. Also, serve as a new construction liaison to provide information to members and other departments when needed.
What You’ll Do:
- Acts as a liaison between internal and external customers. Greet and direct walk-in visitors and notify guests and visitors. Monitors areas outside gates and doors, and the guestbook.
- Manages paper or electronic filing systems, recording information, updating paperwork, or maintaining documents, such as county inspections, apprentice files, training records, safety records, or other material. Sorts and delivers Operations mail and interoffice correspondence.
- Provides administrative support to the Manager of Operations, Operations Supervisors, Right of Way Coordinator, and Safety Officer.
- Serves as back-up to Work Order Coordinator with tasks, projects, and provides administrative support. Contact members, county agencies, and vendors as requested.
- Serves as a new construction liaison between Operations and Engineering departments and county inspectors, providing information to members and other departments when needed.
- Responsible for the building operations and supplies. May put in help desk tickets and take care of janitorial needs.
Required Qualifications
- High school diploma or equivalent and at least two years of related experience.
- Ability to communicate tactfully with professionalism and respect.
- Must be able to communicate in a positive manner with internal and external contacts.
- Should be able to effectively deal with disgruntled customers.
- Should have strength in detail orientation and organization.
- Must have the ability to prioritize tasks and multitask.
- Must be proficient in Microsoft Office software, clerical, general office procedures, and communication skills (written and verbal).
- Ability to work as a team member.
- Must be able to understand information and ideas presented through spoken words and sentences.
Preferred Qualifications:
- Notary public
- Valid driver's license
