Overview:
We are seeking a highly organized and proactive individual to support our operations team in our Reno, NV office. This role is ideal for someone who thrives in a fast-paced environment and enjoys coordinating moving parts across multiple teams.
This position plays a key role in keeping service and project workflows organized, on track, and moving efficiently. You will work closely with field teams and internal stakeholders to support scheduling, job setup, documentation, and ongoing coordination across service and project activities.
Positions Responsibilities:
- Act as a central point of coordination for service and project-related activities
- Help ensure work is properly scheduled, documented, and progressing as expected
- Monitor job and service activity to maintain visibility on status, timelines, and next steps
- Support prioritization of incoming requests and help route work appropriately
- Assist with scheduling coordination and technician support
- Track service tickets, inspections, and maintenance activities to ensure completion
- Provide updates on job status and assist with customer communication as needed
- Help ensure service documentation is accurate, complete, and submitted on time
- Assist with new job setup and ensure all required information is entered and organized
- Maintain job folders, project documentation, and internal tracking tools
- Support early-stage project coordination including permits, inspections, and compliance requirements
- Assist in keeping project-related information current and accessible for the team
- Maintain organized records across service and project work
- Assist with preparation of quotes, work orders, and follow-ups
- Support closeout documentation, inspections, and audit requirements
- Help identify missing information or gaps and follow through to resolution
- Coordinate with vendors on materials, documentation, and order status
- Assist in tracking materials to support job readiness and execution
- Provide administrative support to operations and field teams
- Answer phones and assist with customer inquiries
- Perform other duties as assigned
Position Requirements:
Candidate must have proven experience in several of the following disciplines:
- High school diploma or equivalent
- 1–3 years of administrative, coordination, or operations support experience
- Strong organizational and multitasking abilities
- Ability to keep multiple workflows moving simultaneously
- Strong communication and customer service skills
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Ability to work effectively in a fast-paced, team-oriented environment
- Professional and approachable demeanor
- Experience in construction, low voltage, or service-based industries
- Familiarity with scheduling, dispatching, or coordinating field teams
- Exposure to job tracking, work order systems, or project documentation
- Experience with inspection or compliance-related processes
- SAGE 300 CRE experience a plus
- Must clear a background/credit check, drug test, and have a valid driver’s license and driving record that meets Company requirements.
