Midland Flex Learning Center:

The Midland Flex Learning Center serves as an innovative, adaptive program within Midland Public Schools, specifically designed to support students seeking a nontraditional educational journey. Housed in our new facility on Fast Ice Drive, the center provides a personalized, flexible approach to learning for secondary students. By balancing robust virtual instruction with vital in-person support, local lab experiences, and hands-on project-based learning, the Center ensures that every student-whether recovering credits, seeking an alternative schedule, or looking to re-engage with their education-can earn a distinct Midland diploma on a timeline that fits their life. Through a supportive, relationship-driven environment, the Midland Flex Learning Center ensures every learner has a clear, customized pathway to graduation and future success.

POSITION SUMMARY:

Midland Public Schools is seeking an Operations Manager for the Midland Flex Learning Center. This position is responsible for the day-to-day operations of the Midland Flex Learning Center and serves as a primary point of contact for students, families, staff, and community partners.

The Operations Manager oversees student enrollment, records management, scheduling, pupil accounting, budget and purchasing functions, and supports academic planning for students enrolled in district pathway programs, including virtual learning, alternative education, credit recovery, and Early Middle College. This position also provides day-to-day oversight and support of paraprofessional staff assigned to the Midland Flex Learning Center and works closely with district staff to support student success.

REQUIRED QUALIFICATIONS:

  • Associate degree from an accredited institution.
  • Minimum of three (3) years of experience in office administration, finance, student services, educational operations, or a related field.
  • Demonstrated proficiency with Microsoft Office, Google Workspace, and database or student information systems.
  • Experience maintaining confidential records and working with detailed data.
  • Strong organizational, communication, and problem-solving skills.
  • Ability to manage multiple priorities and meet deadlines with minimal supervision.
  • Successful completion of a criminal background check.

PREFERRED QUALIFICATIONS:

  • Bachelor's degree from an accredited institution.
  • Experience working in a K-12 educational setting.
  • Experience with student enrollment, scheduling, pupil accounting, records management, or graduation tracking.
  • Experience managing budgets, purchasing processes, or financial records.
  • Experience using Synergy or a similar student information system.
  • Experience leading, coordinating, or providing work direction to staff.

ESSENTIAL RESPONSIBILITIES:

The Operations Manager is responsible for assisting the Program Administrator in coordinating the daily operations of the Midland Flex Learning Center, including virtual learning, alternative education, credit recovery, Early Middle College, and other district pathways. This role serves as the primary point of contact for students, families, and staff while overseeing enrollment, records management, student information systems, pupil accounting, data reporting, and budget support.

The Operations Manager ensures accurate records, regulatory compliance, and efficient operations while collaborating with district staff and partners to support student success and completion of educational goals.

Student Information Systems, Enrollment, and Records:

  • Manage student information systems, scheduling, enrollment, and student record functions for Midland Flex Learning Center programs.
  • Utilize Synergy and related platforms to support student scheduling, course enrollment, data management, reporting, and program operations.
  • Troubleshoot and coordinate data and system integrations with internal and external partners as needed.
  • Complete and maintain all required district, state, and federal documentation related to enrollment, pupil accounting, and educational pathway programs.
  • Ensure the accuracy, integrity, and compliance of student data and records across virtual learning, alternative education, Early Middle College, and other district pathway programs.

Student Enrollment and Records Management:

  • Coordinate all aspects of student enrollment, withdrawal, and records management, including verification of required documentation.
  • Maintain student records, transcripts, immunization records, and other required district and state documentation.
  • Process transcript requests, course history updates, graduation audits, report card corrections, and records requests.
  • Ensure the accuracy, security, and confidentiality of student information and records.

Academic Planning and Pathway Support:

  • Assist students with course selection, Educational Development Plans (EDPs), graduation planning, and pathway opportunities to support progress toward graduation requirements.
  • Coordinate enrollment and course selection for students participating in dual enrollment, Early Middle College, virtual learning, and other post-secondary opportunities.
  • Collaborate with administrators, counselors, teachers, families, and post-secondary partners to support student scheduling, academic planning, and successful program participation.
  • Support compliance with graduation requirements, the Michigan Merit Curriculum, Personal Curriculums, and other applicable state and district requirements.

Financial and Budget Administration:

  • Assist with building budget management, purchasing, and cash collection processes.
  • Process purchase orders, invoices, warehouse requisitions, account reconciliations, and purchase card statements.
  • Maintain accurate financial records and supporting documentation in accordance with district procedures.

Communication, Outreach, and Program Coordination:

  • Serve as an initial point of contact for students, families, staff, and community members regarding Midland Flex Learning Center programs and services.
  • Support communication and outreach efforts related to district pathway programs, including virtual learning, alternative education, credit recovery, and Early Middle College opportunities.
  • Assist with the coordination and administration of state and district assessments in accordance with established procedures and requirements.
  • Assist in planning and coordinating student orientations, recognition programs, graduation activities, and other special events.
  • Support program communications through newsletters, digital platforms, social media, and other communication tools.

Office Coordination and Administrative Support:

  • Maintain calendars, meeting schedules, records, and other administrative documentation to support program operations.
  • Prepare correspondence, reports, meeting notes, and other documents as needed.
  • Maintain confidentiality of student, employee, and district information.
  • Provide general office support and assist with the daily operations of the Midland Flex Learning Center.

Additional Responsibilities:

  • Comply with District policies and applicable state and federal laws and regulations.
  • Maintain confidentiality in the conduct of District business.
  • Demonstrate regular and reliable in-person attendance.
  • Perform other duties as assigned.

WORK ENVIRONMENT/PHYSICAL DEMANDS:

Duties are performed primarily in a school and office setting. The position requires frequent use of a computer, telephone, and other office equipment; regular communication with students, families, staff, and community members; and movement throughout the building and district as needed to perform assigned responsibilities. Occasional lifting, carrying, or moving of materials, supplies, or equipment may be required.
