Position Summary

The Oncology Support Specialist plays a vital role in the coordination of patient care within the oncology setting. This position collaborates closely with nurses, physicians, and financial advisors to ensure that patients are scheduled appropriately for treatments. The specialist is responsible for organizing all ancillary testing and provider visits, making certain that treatments are scheduled accurately and delivered on time.

Experience

Applicants should have a minimum of two years of prior experience in medical assisting, which is preferred for this position.

Education

High school diploma or equivalent required.

Essential Functions

  • Provide excellent customer service to patients requiring treatment or care.
  • Meet with patients in person or by telephone in a pleasant manner to coordinate their care.
  • Manage and coordinate all infusion patient treatments, ancillary appointments, and provider visits.
  • Handle complex scheduling requirements, including multi-week treatment regimens and therapy durations, to ensure patients do not miss appointments.
  • Work diligently to ensure new patients are scheduled and seen promptly through effective schedule management.
  • Reschedule appointments as needed to align with provider-determined priorities and ensure timely patient care.
  • Collaborate with infusion nurses, providers, and the authorization team to verify that all requirements are met before starting new treatments.
  • Perform office duties to meet patient care needs.
  • Schedule patient appointments and maintain the scheduling system to best serve treatment needs and patient preferences.
  • Respond promptly to phone system messages and keep voicemail messages updated.
  • Create and provide each patient with a calendar of scheduled treatments.
  • Coordinate preauthorization's for medications, procedures, and testing when required.
  • Work with patient financial advocates and front desk staff to ensure authorization is completed for all required testing and medication prior to the scheduled date.
  • Verify that the treatment plan is authorized before scheduling appointments.
  • Ensure outside providers receive paper orders for non-oncology treatments and confirm those orders have been entered by pharmacy and authorized before scheduling.
  • Manage specialty pharmacy medications and confirm medications have arrived prior to scheduled appointments; reach out as needed for new prescriptions.
  • May be responsible for opening or closing the building and ensuring proper locking of premises.
  • Efficiently obtain necessary patient records from other physician practices or institutions that have provided care.
  • May type correspondence, labels, or policy and procedures as needed.
  • Assist with the efficient delivery of patients from the waiting area to treatment areas.
  • Answer phones professionally and promptly, accurately directing calls.
  • Perform all front desk reception tasks, including patient registration, when necessary.
  • Facilitate patient care coordination, including new treatments, diagnostic testing, referrals, and scheduling of all required appointments.
  • Demonstrate the ability to independently solve problems, such as urgent patient needs or scheduling changes due to cancellations.
  • Exhibit strong multi-tasking skills and abilities.
  • Serve as a liaison between patients and medical staff.
