Work Schedule:Monday – Friday, Shift Varies between 8:00 AM – 8:00 PM EST
Position Summary
The Onboarding Consultant is responsible for guiding clients and their stakeholders through the transition from sales to ongoing service, ensuring a smooth, accurate, and timely onboarding experience. This role supports a variety of plan types, including PEOs, MEPs, PEPs, and single employer plans, as well as their adopting employers.
Serving as the primary point of contact during onboarding, the Onboarding Consultant manages communication with clients, prior recordkeepers, and prior TPAs. The Consultant partners closely with internal teams, including Plan Transfer Specialists, to collect required documentation, submit materials for due diligence review, coordinate asset transfer timing, and ensure onboarding milestones are met. This role also provides client training on contribution submission methods and reviews initial payroll files for accuracy to support successful implementation and long‑term service readiness.
Essential Functions
· Manage a designated caseload of new plan clients, delivering a concierge‑level onboarding experience from sales transition through successful implementation.
· Serve as the primary point of contact during onboarding for clients, prior recordkeepers, and prior TPAs, managing communications, expectations, and escalations.
· Partner closely with the Plan Transfer Specialist to support plan transfer activities, including submission of prior plan documentation for due diligence and resolution of identified issues.
· Collect prior plan documents, records, and required information from clients and prior recordkeepers and submit materials to internal teams for review and processing.
· Coordinate with prior TPAs, recordkeepers, and internal partners to establish and confirm asset transfer timelines and key milestones.
· Facilitate virtual onboarding meetings to review progress, address outstanding items, and maintain momentum toward implementation deadlines.
· Partner cross‑functionally to ensure onboarding and transfer deliverables are completed accurately, timely, and in alignment with service standards.
· Guide clients through payroll submission and approval processes, including coordination with payroll vendors and external partners.
· Review initial payroll contribution files for accuracy and completeness, identify discrepancies, and coordinate corrections prior to processing.
· Review onboarding documentation received from Sales to identify plan provisions, missing information, and required follow‑up.
· Conduct client training on systems, services, and resources related to onboarding and plan setup.
· Maintain accurate onboarding records, case updates, and task tracking in Salesforce and internal systems.
· Provide reporting on onboarding activity, client feedback, and emerging issues to support continuous improvement.
Skills & Abilities
· Strong understanding of the 401(k) industry and onboarding lifecycle, including plan setup and transfer coordination.
· Excellent organizational and time management skills with the ability to manage multiple onboarding cases, track dependencies, and meet client and regulatory deadlines.
· Strong attention to detail with a focus on accuracy, documentation quality, and risk mitigation.
· Clear, professional written and verbal communication skills, including the ability to coordinate messaging across clients, prior recordkeepers, TPAs, and internal partners.
· Analytical and proactive problem‑solving skills, including the ability to identify issues early and partner with subject matter experts for resolution.
· Demonstrated ability to build and maintain effective internal partnerships, including close collaboration with Plan Transfer Specialists and other implementation teams.
· Ability to work independently while coordinating work across multiple stakeholders and teams.
· Proficiency in Microsoft Office applications and Salesforce or similar CRM platforms.

This role will have a base pay range of $52,000 - $80,000. Please know, this is the base range only and does not consider other components that make up the total rewards package for this role. This position is also eligible for an annual performance bonus.
