Office Technician

Job Description

 

 Reports To:        Office Manager (or designee)

FLSA Status:Non-Exempt

Pay Range:Range 2 ($25.54 - $29.60)

Work Schedule:12 months

Location:Onsite Office

 

 

Position Summary: Supports the operations of the school office to ensure the school is aligned with its mission, vision, and core values.

 

ESSENTIAL FUNCTIONS and RESPONSIBILITIES

General Duties

  1. Assists with processing forms related to assigned functions

  2. Inputs data; initiates queries and generates computerized reports as requested; establishes and maintains automated records and files; assures accuracy of input and output data; and submits reports to appropriate personnel

  3. Receives, sorts, distributes, and sends mail as assigned 

  4. Answers office phones, as needed 

  5. Makes appointments and helps maintain the office calendar

  6. Greets visitors to the office and directs them appropriately

  7. Keep an inventory of office supplies and request replenishments as needed 

  8. Attends and helps facilitate school events, as needed 

  9. Assists with the creation of monthly newsletters

  10. Duplicates and distributes materials as needed

  11. Ensures the new employee onboarding tracker is current and complete

  12. Completes all assigned offboarding tasks for separating employees

  13. Ensures all office suites are well-maintained and supplies are stocked

  14. Assists with Sage Milestones and other cross-department initiatives

  15. Serves as the receptionist for the school, greeting parents, students, visitors, and staff

 

Office Support 

  1. Supports the upholding of the school’s safety plan and ensures a safe work environment in the office by following evaluation routines

  2. Ensures all first aid materials are available, and meets all required timelines for office safety checks

  3. Assists with office efficiency by supporting the implementation of office systems, supplies, layouts, and equipment procurement

 

Parent and Student Support

  1. Provides excellent customer service to parents, students, and staff who call, or visit the office

  2. Supports student intake by gathering required documentation, as needed 

  3. Processes student identification cards in accordance with school procedures, ensuring accuracy and confidentiality of student information

 

Other Duties

  • Responds to all school related written correspondence, phone calls, voicemails, and emails within 24 business hours

  • Refers all formal disciplinary actions involving students and staff to school management ensuring compliance with the school’s Uniform Complaint Policy and the school’s Uniform Technology Policy; addressing and resolving complaints from students, parents, and staff in a timely manner; and complying with the provisions of California Penal Code Section 11166 (Child Abuse and Neglect Reporting Act)

  • Performs other duties as assigned

 

QUALIFICATIONS GUIDE

 

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.  The requirements listed below are representative of the knowledge, skill, and/or ability required.

 

Education & Experience:

  1. High school diploma or equivalent is required

  2. Three (3) years of clerical or secretarial preferred

 

Other Qualifications:

  1. State and federal background clearance (LiveScan) to work with students (Ed. Code 44237). No prospective employee can report to work without this clearance being received and Human Resources notifying the immediate supervisor of this clearance 

  2. Proof of a clear TB test or completed tuberculosis risk assessment questionnaire and certificate of completion by a health care professional dated within the last 60 days (Ed. Code 49406 and AB 1667) upon employment and thereafter updated every four years

 

Knowledge:

  1. Computer and technology literacy:  Operate office equipment including a calculator, copier, fax machine, computer and assigned software. 

  2. Google docs, Google spreadsheets and other online collaboration tools to send and receive information

  3. Basic arithmetic calculations

 

Skills:

  1. Conflict resolution 

  2. Record-keeping techniques

  3. Methods of collecting and organizing data and information
