GENERAL DESCRIPTION:

Elevate your career and achieve a healthy work-life balance by joining the Wyoming Office of the Attorney General. The Office is seeking highly motivated, organized, and professional applicants for an Office Support Specialist II position with the Division of Victim Services.

Under limited supervision, this position provides executive-level administrative support to the Division Director and staff. Responsibilities include performing a variety of administrative and operational support functions associated with the development, implementation, and representation of two critical program areas: Crime Victims Compensation and Regional Program Management.

The successful candidate will coordinate and manage a broad range of office support activities, maintain confidential records and communications, assist with program administration, and support division operations in a fast-paced professional environment. This position requires strong organizational skills, attention to detail, professionalism, and the ability to manage multiple priorities while supporting the mission of serving crime victims throughout Wyoming.

ESSENTIAL FUNCTIONS: The listed functions are illustrative only and are not intended to describe every function that may be performed at the job level.

  • Manage the day-to-day operation of assigned programs, projects, or functions between a variety of sources, as well as office maintenance and inventory.
  • Process and maintain agency records; coordinate meetings and appointments; make travel arrangements; maintain and update division website; receive and screen incoming calls and mail, and route to appropriate individuals.
  • Prepare, type, and edit forms, contracts, action plans, legal documents, statutes, rules, and training and operation manuals; prepare documents for planning, strategic planning, action plans, conference planning, annual reports, federal grant reporting, fact sheets, and status reports.
  • Provide information and referrals to members of the public and allied professionals regarding agency programs and activities requiring extensive knowledge of agency operations and policies.
  • Perform a variety of support tasks for the administration associated with the development, implementation, and representatives for the Crime Victims Compensation and Regional Program Management.
  • Provide support in the development of outreach, research, and educational training materials; provide monthly updates to the website with information on training, conferences, and announcements.
  • Provide support to the outreach coordinator on the design and formatting of brochures and other written materials for the individual segments of the division.
  • Perform claim intake functions as a backup to the claims specialist; maintain court-generated revenue intake functions for internal accounting; maintain a mailing database.
  • Assist with formatting and editing competitive grant applications and guidelines, grant review documentation, contracts, and spreadsheets; maintain subgrantee files and other necessary grant-related tasks.
  • Collect and maintain information for the statistical database, which includes compiling and summarizing information for periodic administrative reports and preparing quarterly and year-end victim services statistical reports.

Qualifications

PREFERENCES:

Preference is given to applicants with an associates degree in business, plus three (3) years of progressive work experience in business/office communications or five (5) years of administrative support experience in a government office environment.

KNOWLEDGE:

  • Knowledge of office management, organizational methods, procedures, standards, practices, and etiquette.
  • Knowledge of project management and preparation of complicated documents.
  • Knowledge of inventory control, purchasing, travel, and fiscal procedures.
  • Knowledge of agency mission, goals, policies, and procedures.
  • Knowledge of computer applications, functions, and operations; proficiency in Microsoft Word and Excel; development of forms, databases, and spreadsheets.
  • Skill in operating multiple computer software programs, i.e., Microsoft Word, Excel, and Email.
  • Skill in operating general office machines, i.e., typewriters, copiers, calculators, and facsimiles.
  • Skill in verbal and written communication; document creation and editing; spelling, grammar, and punctuation.
  • Skill in interpersonal relations as applied to contacts with staff, agency officials, outside agency representatives, elected officials, legislators, and the general public.
  • Skill in prioritizing and organizing time and materials.
  • Ability to maintain confidentiality in all aspects of the work environment and work product.
  • Ability to work independently to prioritize tasks, anticipate needs and problems, and make independent decisions to solve them.
  • Ability to multitask and accurately complete duties and cope with unexpected interruptions while maintaining productivity.
  • Ability to relate well with others even under pressure, learn new tasks, and gain new knowledge quickly and accurately.

Education:

Associates Degree (typically in Business)

Experience:

0-2 years of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Support Specialist I

OR

Education & Experience Substitution:

2-4 years of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Support Specialist I
