Position Overview
The College of Science Advising Center at the University of North Texas is seeking to hire an Office Support Associate to join our team.
This position is responsible for managing the front desk operations for the College of Science Advising Center, including greeting visitors with a warm welcome, answering incoming calls and emails, maintaining a physical presence at the front desk, and responding to routine inquiries independently as well as routing more complex matters to the appropriate staff. The position supervises student assistants in the College of Science Advising Center, including hiring, training, payroll approvals, and day-to-day management. Additionally, this role supports the College of Science Advising Center and Office of Health Professions with maintaining physical and electronic files, scheduling appointments and meetings, updating spreadsheets and program rosters, assisting with data collection, providing project assistance, routine purchasing (e.g., office supply orders, food orders, promotional item orders, and printing orders) as well as event support, including room reservations, preparation of materials, ordering and picking up event food/beverages, setup and breakdown for events, and other routine logistics. The position also participates in recommending improvements as needed, and completes other duties, as assigned.
Minimum Qualifications
High school diploma and three years of moderately responsible and varied office administration or business management experience; or any equivalent combination of experience, education, and training.
Knowledge, Skills and Abilities
* Advanced customer service skills; ability to provide a warm, welcoming environment to all visitors, de-escalate upset students and parents, and refer complex requests to the appropriate staff for guidance and/or assistance.
* Knowledge of Microsoft Office (specifically, Excel, Word, Outlook, Teams, and PowerPoint)
* General computer knowledge, such as operating a laptop/desktop computer, typing, sending emails, reading and signing forms in Adobe Acrobat, utilizing pivot tables and functions in Excel, and mail merge in Word and Outlook, and the ability to navigate the Internet and learn new systems to obtain student information and complete tasks associated with the role
* Knowledge of accounting/budgeting procedures
* Ability to work under pressure, to adjust to constant changes, to handle multiple tasks, and to coordinate the work of others
* Ability to keep complex records, to assemble and organize data of complex nature, and to prepare and submit reports in acceptable formats
* Ability to conceptualize, plan, and organize multiple programs and assignments effectively
* Ability to work on complex and confidential tasks utilizing good judgment, tact, and resourcefulness
* Skill in developing and maintaining good working relationships; ability to communicate effectively with supervisor, colleagues, direct reports, and other stakeholders
* Knowledge of policies, practices, procedures and terminology of assigned function
Preferred Qualifications
Experience working in-person in a front-office position, preferably on a college campus or with college students.
