Definition

The Office Specialist classification is a position used city-wide.

There is an immediate vacancy in the Fire Department.

The list established from this recruitment will be used to fill this vacancy and any other vacancies that occur within one year.

DEFINITION:

Under the supervision of higher-level supervisory personnel, performs a wide variety of typing and general clerical work of a routine nature.

DISTINGUISHING CHARACTERISTICS:

The Office Specialist I is the entry-level class within the Office Specialist series and is expected to learn to perform assigned duties and responsibilities. Incumbents within this classification initially perform routine and less complex duties and responsibilities, however, steadily receive more complex duties as experience is gained. Incumbents in this class normally work under close and continuous supervision performing repetitive or closely related duties according to established procedures. This classification is distinguished from the Office Specialist II in that an incumbent is expected to perform assigned duties under direct supervision, as they learn their positions. In that this is a learning classification, typically incumbents can generally expect to progress to the higher-level class of Office Specialist II after gaining one year of experience.

The Office Specialist II is the journey level class within the Office Specialist series and is responsible for performing a full range of general clerical duties. Incumbents within this classification are expected to demonstrate a full understanding of all applicable policies, procedures and work methods associated with assigned duties. Employees in this class may often have contact with the public, answering a variety of procedural questions and providing information. This classification is distinguished from the lower level classification of Office Specialist I in that incumbents are expected to perform assigned duties with minimal supervision and at an independent level.

Essential Functions

ESSENTIAL FUNCTIONS: (include but are not limited to the following)

  • Type a variety of documents in draft and final form, such as correspondence, standard forms, charts, and reports using office computer or other office equipment.
  • Proofread materials for correct grammar, spelling, punctuation, and format.
  • Receive the public and answers calls; determine how incoming calls should be routed; direct people to appropriate offices.
  • Explain routine procedures, processes and department activities to the public and staff from other departments.
  • Compile routine reports by extracting and/or tabulating information from a variety of sources, such as files, correspondence, meeting notes, logs, previous reports, and/or instructions.
  • Post a variety of information to various control records and information files.
  • Contact other departments, agencies, businesses, and members of the public to obtain information necessary for a variety of City activities.
  • Maintain prompt and regular attendance.
  • Perform other related duties as required.

Qualifications

QUALIFICATIONS

Education and/or Experience:

A high school diploma or equivalent is required for both levels.

No prior experience is necessary for the Office Specialist I.

One (1) year of general office clerical experience is required for the Office Specialist II.

License/Certificate:

Possession of a valid Class "C" California drivers license.

RECRUITMENT AND SELECTION PROCESS

Those candidates will be invited to participate in a written examination. Candidates successful in the written examination will advance to the Oral Board Interview. Candidates who successfully complete the process, will have their names certified to the eligibility list that will be used to fill this vacancy and future vacancies as they occur.

Positions designated in the Teamsters Local 1932 General Employees Unit receive the following benefits:

  • Cafeteria Amount for the purchase of medical, dental and vision insurance is $1,625.00/mo effective August, 2024.
  • Employees hired on or after May 1, 2018, shall have a maximum cap of $500 for cash in-lieu.
  • Up to 80 hours per year of vacation accrued for 0 - 5 years of service
  • Up to 96 hours of sick leave (8 hours accrued monthly)
  • 12 paid holidays (per calendar year)
