Nature of Work

This position assists in a variety of tasks involving fixed assets and fleet management for the Departments of Health, Health Facilities, and Human Services, as well as the Office of Shared Administration (OSA). Duties include:

  • Process SHEL docs in wvOasis daily and verify if the item is a fixed asset. If it is an asset and has not been entered into the fixed asset system, work with the local equipment coordinator to gather information so it can be entered into the fixed asset system.

  • Assist in entering and processing all fixed asset documents. This includes Fixed Asset Acquisition (FA), Fixed Asset Disposition (FD), Fixed Asset Modification (FM), Fixed Asset Transfer (FT), Fixed Asset Increase/Decrease (Fl), Fixed Asset Change Type (FX), Fixed Asset Cancellation (FC), Fixed Asset Repair and Warranty (FRM), Fixed Asset Internal Sale (FS), and Fixed Asset Inter Fund Transfer (FAIT) Documents.

  • Assist the fleet coordinator in monitoring the travel activity of fleet vehicles via GeoTab telematics installed in state-owned vehicles.

  • Assist in running Business Intelligence (Bl) reports for the annual inventory for all agencies in which OSA supports, making all necessary changes as location submit their certifications.

  • Assist in maintaining the current vehicle database (Holman, master vehicle spreadsheet, mileage logs) to ensure information is accurate.

  • Assist in the distribution of invoicing for fuel and maintenance for state vehicles to unit fleet coordinators.

  • Assist in special projects as needed. Examples include state owned vehicle registration, title transfers, mass fixed asset transfers, etc.

  • Assist in maintaining the unit coordinator database for both fleet and fixed assets.

  • Process rental vehicle database (mileage logs, etc.)

  • Assist in any audits concerning fleet or fixed assets

  • Other job duties as assigned.

Minimum Qualifications

Training: Graduation from a standard high school or the equivalent.

AND

Experience: Two (2) years of full-time or equivalent part-time paid experience performing routine office work or customer-facing roles.

OR

Substitution: College hours, related business school, or vocational training may be substituted through an established formula for the required experience.
