Job Summary
We are seeking an Office Manager to join our team. In this role, you will coordinate all administrative duties and office procedures, ensuring the workplace operates smoothly and efficiently. Your responsibilities will include AIA G702/G703 billing and maintain accurate record in Quickbooks online, scheduling meetings, paying invoices, negotiating with vendors, and maintaining office equipment. The ideal candidate is highly organized with excellent verbal and written communication skills and the ability to implement systems and procedures.
Note: You have to be experinced in AIA billing and Quickbooks to apply for this job. 


Responsibilities 
  • Experience preparing AIA G702/G703 billing applications (required)
  • Experince with Quickbooks (required)
  • Maintain calendar of appointments and meetings
  • Design the office layout with efficiency and organization in mind
  • General communication with clients and employees
  • Pay and record invoices
  • Digital filing
  • Account payable and recievables
  • Negotiate contracts and pricing with vendors and service providers
Qualifications
  • High school diploma/GED required, some college preferred
  • Previous experience as an Office Manager preferrably in a commercial/residential construction (minimum of 3 years)
  • Understanding of office equipment, systems, and procedures
  • Experience preparing AIA G702/G703 billing applications for payments (required)
  • Skilled in Microsoft Office, Excel, and Outlook
  • Excellent time management skills and ability to prioritize multiple tasks
  • Strong problem-solving skills and attention to detail
  • Excellent verbal and written communication skills
  • High attention to detail and accuracy.
