We are seeking a high-performing Office Manager / Senior Accounting Administrator to lead financial and administrative operations for a growing construction company. This is a hands-on, high-impact role designed for someone who can operate at a Controller level while managing day-to-day execution across multiple entities.
Key Responsibilities
Own and manage full-cycle payroll and payroll tax compliance for field and office staff.
Lead HR administration including onboarding, benefits, compliance, and employee records.
Oversee construction purchasing and job administration, ensuring accurate cost tracking and vendor coordination.
Maintain and reconcile accounting, payroll, and project management systems (e.g., ComputerEase, QuickBooks, etc.).
Manage full-cycle bookkeeping across multiple related entities with high accuracy.
Process and reconcile intercompany transactions monthly.
Manage preparation of monthly internal financial statements, including job cost analysis, variance reporting, and cash flow tracking.
Partner with leadership on financial visibility, reporting, and operational insights.
Coordinate year-end close and work directly with external bookkeeping and accounting firms.
Manage insurance operations including COIs, renewals, compliance tracking, and claims.
Maintain company licenses and update as needed to support ongoing compliance and business operations.
Manage corporate-level administrative needs including licensing, paperwork, business accounts, and related compliance documentation.
Lead end-to-end Accounts Receivable operations, ensuring accurate billing, timely cash application, deposit management, and reconciliation of customer accounts.
Oversee and execute the full Accounts Payable function, including vendor disbursements, documentation control, and reconciliation support
Manage implementation of system process automation.
Evaluate and analyze expenses and make recommendations to executive management on cost-saving measures.
Required Qualifications
5+ years of experience in accounting, bookkeeping, or office management
Strong experience in the construction industry (REQUIRED)
Deep understanding of job costing, WIP reporting, and multi-entity accounting
Experience managing payroll, financials, and intercompany transactions
Ability to operate independently and take ownership of financial processes
High attention to detail with strong organizational skills
Proficiency in accounting systems (ComputerEase, QuickBooks, or similar)
Preferred Qualifications
Experience in a Controller or Assistant Controller role
Experience with construction and service delivery software
Accounting degree (preferred but not required)
