Our client is a boutique public accounting firm located in the northern Chicago suburbs, providing comprehensive tax and accounting services to individuals and closely held businesses throughout the Chicago area. Their practice includes individual, partnership, S-corporation, and trust taxation, along with bookkeeping and sales tax services for many of their existing clients.

Job Details

Our growing CPA firm is looking for a highly organized, detail-oriented and experienced Office Manager/Executive Assistant to join our team. This role is integral to the smooth running of our office and will provide executive support in a one-on-one working relationship with the directors. This exciting role offers a unique opportunity to be involved in a wide range of high-level administrative and project support tasks. The ideal candidate will be a self-starter who thrives in a fast-paced, dynamic environment and who has a proven track record of demonstrating initiative and problem-solving skills. Ideally, this person will enjoy working with technology and help the team in adapting to AI, leveraging new tools and supporting.

Responsibilities:

1. Manage and maintain executives' schedules, appointments, and travel arrangements.
2. Occassionally preparing invoices, reports, memos, letters, financial statements, and other documents, using word processing, spreadsheet, database, or presentation software.
3. Supervise and coordinate activities of staff.
4. Prepare responses to correspondence containing routine inquiries.
5. Perform general office duties, such as ordering supplies, maintaining records management systems, and performing basic bookkeeping work.
6. Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.
7. Conduct research, compile data, and prepare papers for consideration and presentation by executives, committees, and boards of directors.
8. Meet with individuals, special interest groups, and others on behalf of executives, committees, and boards of directors.
9. Manage and maintain all aspects of office services including, but not limited to, office supplies, reception, mail, large purchasing requests and facilities.
10. Coordinate and manage special projects, including working collaboratively with staff to assure projects meet deadlines.

Qualifications:

1. Minimum of 5 years of experience as an Office Manager or Executive Assistant.
2. Bachelor's degree in Business Administration or related field is preferred. (NOT required)
3. Strong knowledge of office procedures and basic accounting processes.
4. Proven experience in billing processes.
5. Outstanding communication and negotiation abilities.
6. Proficiency in MS Office and office management software.
7. Exceptional organizational and multitasking skills.
8. Ability to work under pressure and meet deadlines.
9. Attention to detail and problem-solving skills.
10. Discretion and confidentiality.
11. A proactive approach to problem-solving with strong decision-making skills.
