    Position Summary

    The Office Manager will oversee the day-to-day administrative operations of the business while providing support across accounting, human resources, customer service, and executive administration. This individual will serve as a key business partner to leadership and help ensure the smooth operation of a busy manufacturing environment.

    The ideal candidate is highly organized, detail-oriented, and comfortable managing a wide variety of responsibilities in a fast-paced, collaborative setting.

    Key Responsibilities

    Office Administration & Operations

    • Manage daily office operations and administrative processes.
    • Serve as a primary point of contact for employees, customers, vendors, and visitors.
    • Coordinate office supply management, facilities needs, and vendor relationships.
    • Maintain company records, documentation, and filing systems.
    • Support internal communications, meetings, and company events.

    Accounting Support

    • Process accounts payable and accounts receivable transactions.
    • Assist with invoicing, collections, reconciliations, and expense tracking.
    • Support month-end close activities and reporting requirements.
    • Coordinate with external accounting partners and internal leadership.
    • Ensure accuracy and organization of financial records.

    Human Resources Administration

    • Assist with recruiting coordination, interview scheduling, and onboarding activities.
    • Maintain employee files and HR documentation.
    • Support payroll processing and benefits administration.
    • Assist with policy administration and compliance-related activities.
    • Coordinate employee programs and office culture initiatives.

    Customer & Operational Support

    • Help facilitate communication between customers, vendors, and internal teams.
    • Support order administration, project documentation, and workflow coordination.
    • Maintain tracking systems and operational reporting.
    • Assist leadership with process improvement initiatives and special projects.

    Executive Support

    • Manage schedules, meetings, and administrative needs for company leadership.
    • Prepare reports, presentations, and business correspondence.
    • Handle sensitive and confidential information with professionalism and discretion.

    Qualifications

    • 5+ years of experience in office management, business administration, accounting support, or operations coordination.
    • Strong organizational skills and the ability to manage multiple priorities.
    • Experience supporting accounting functions including AP, AR, billing, and reconciliations.
    • Proficiency with Microsoft Office, including Excel.
    • Excellent communication and customer service skills.
    • High degree of professionalism and confidentiality.

    Preferred

    • Prior experience within a manufacturing, construction, industrial, or distribution environment.
    • Experience supporting payroll, benefits, or HR administration.
    • Familiarity with ERP, accounting, or business management systems.
    • Associate's or Bachelor's degree in Business, Accounting, Human Resources, or a related field.
