Axis Energy is looking for an experienced highly organizedand and conscientious Office Manager to join their professional and dynamic team. As an Office Manager at Axis Energy you would be responsible for administrative duties including payroll accounts receivablepayable and onboarding new personnel. This position will require you to be highly organized supportive and demonstrate the ability to prioritize work and manage task urgency.Responsibilities and Duties.Manage all the administrative needs for the Axis office and staff and work collaboratively with Corporate Accounting team.Maintain contact information for office and field personnel expense reports maildelivers bank deposits office supplies event planning esthetics of the office cleaning crew and additional assignments as directed by the Operations Manager.Process field personnel new hire onboarding and documentation. This includes entering the employee information in ERP system processing the employee through the E-Verify system and providing the proper drug testing paperwork. Also responsible for other onboarding responsibilities and making certain that they receive and acknowledge all company policies with their signature submitting proper paperwork to the company headquarters.Process vendor invoices with proper coding of job number cost codes purchase order number or general ledger codes as applicable and confirm that the proper receiving paperwork is included.Lead collection efforts for outstanding accounts receivables to meet cash flow collection targets.Process payroll on a bi-weekly basis. Maintain all payroll records as required.Enter all new Job Start Sheets into Enterprise Resource Planning ERP System to providing consistency in entering new jobs.Assist management in completion of the monthly Work in Progress report and other documents that are needed for the monthly financials. This includes providing monthly financial reconciliation reports and ensuring billing closed projects open PO&rsquos and other financial documents are up to date. Qualifications3 – 5 years in an equivalent position with experience in payroll and accounting full cycle specifically processing invoices managing client accounts and meeting deadlines accurately.Experienced with Microsoft Office Suite data entry and preferably construction projects.Strong communication and organization skils.Ability to work well with others in a collaborative team environment.Self-motivated.Honest reliable self-aware and conscientious.Provide references from a superrvisor peer and direct report if applicable that verify competency and qualifications. Additional NotesZero tolerance certified drug and tobacco free workplaceBehavioralPersonality assessment as part of interview processBackground check credit check and drug screen required at time of hireAxis Energy is an Equal Opportunity Employer.
