Position Summary

The Surgery Department is seeking a highly organized and proactive Executive Administrative Coordinator to support departmental leadership in a fast-paced clinical environment. This role requires an individual who can manage complex scheduling, communicate effectively with executive leadership and cross-functional departments, and maintain organization in an environment where priorities may shift frequently. The ideal candidate will demonstrate strong judgment, independence, and the ability to manage multiple responsibilities while meeting critical deadlines.

Key Responsibilities
  • Manage and coordinate complex calendars for departmental leadership, including scheduling meetings, prioritizing requests, and resolving scheduling conflicts.
  • Serve as a key point of communication between departmental leadership, C-suite executives, and internal departments.
  • Provide high-level administrative support to ensure efficient day-to-day operations within the Surgery Department.
  • Track and manage multiple priorities and deadlines in a fast-paced environment while maintaining a high level of accuracy and professionalism.
  • Utilize strong computer proficiency to manage administrative systems, communications, and departmental documentation.
  • Demonstrate adaptability and responsiveness as departmental priorities shift due to operational needs.
  • Work independently to complete assignments efficiently and ensure deliverables are completed on time.
  • Assist with special projects, operational initiatives, and ad hoc requests as needed.
Qualifications
  • Proven experience supporting senior leadership or executives in a complex, fast-paced environment.
  • Exceptional organizational and time management skills with the ability to manage competing priorities.
  • Strong written and verbal communication skills, with the ability to interact professionally with executive leadership and cross-functional teams.
  • Advanced computer proficiency and strong administrative skills.
  • Ability to work independently, exercise discretion, and maintain confidentiality.
  • Flexible and adaptable with the ability to respond quickly to changing priorities.
  • Two years of experience Experience in unionized environments, Title 22, Consent Law, HIPAA preferred :
  • BS/BA preferred Managerial or supervisory experience;
