OFFICE MANAGER-JOB DESCRIPTION
This role will support a small team of 3 in the office.
- Able to take the current setup (OneDrive, emails, folders) and move it into a structured CRM system used daily
- Experience building a CRM database that tracks customers, quotes, approvals, and job status in one place, able to transfer into Quickbooks
- Send agreements and ensure all terms are signed and completed Coordinate document flow, including signed contracts and customer files
- Maintain and improve filing systems (digital and physical)
- Create a more streamlined process where quotes, agreements, and documents flow efficiently Help implement tools or systems that allow clients to receive, sign, and return documents electronically
- Ensure all signed documents and customer information are properly tracked and organized Support day-to-day office operations and communication
- Experience as an Office Manager or similar role in a small business
- Strong organizational skills and attention to detail
- Experience handling quotes, contracts, and customer documentation
- Comfortable with improving processes and implementing better systems
- Ability to work independently and take ownership of office operations
