OFFICE MANAGER
Overview
We are seeking a highly organized, detail-oriented Office Manager to oversee our daily administrative operations, payroll processing, and financial support tasks. As the hub of our office, you will handle customer billing, accounts payable, vendor management, and cash management, while ensuring a high level of customer service and overall operational efficiency.

Key Responsibilities
Payroll & HR Administration:
• Process bi-weekly payroll accurately, including tracking and verifying timecards via application
• Maintain confidential employee records and personnel files
• Onboard new employees, including setup of payroll and benefits documentation
Customer Billing & Service:
• Generate, send, and track customer invoices, managing the invoicing lifecycle to ensure timely payment
• Serve as the primary point of contact for customer billing inquiries, resolving discrepancies professionally
• Provide high-level customer service support, assisting with inquiries via phone or email
Accounts Payable & Vendor Maintenance:
• Process vendor invoices, ensuring proper coding and approvals
• Maintain vendor relationships and update vendor information in the accounting system
• Schedule and execute weekly AP check runs or ACH payments
Cash Receipts & Disbursements:
• Receive, record, and deposit payments (checks, ACH, cash) accurately
• Perform bank reconciliations and reconcile general ledger accounts
• Manage petty cash and process employee expense reimbursements
General Office Administration:
• Oversee office supply inventory and place orders to maintain adequate stock
• Coordinate maintenance for office equipment and facilities
• Manage incoming/outgoing mail, packages, and deliveries
• Implement office policies and procedures to ensure efficiency
Requirements
Experience (Required):
• 2 or more years of experience in office management, bookkeeping, or payroll
• 2-20 years of work experience in related fields
Education (Preferred):
• Associate or Bachelor's degree in Business Administration, Accounting, or a related field
Technical Skills:
• Proficiency in accounting software (e.g., MS Dynamics)
• Proficiency in MS Office Suite (specifically Excel and Outlook)
• Familiarity with payroll processing systems (e.g., ADP, Insperity) preferred
Knowledge & Skills:
• Solid understanding of AP/AR, cash management, and payroll processes
• Excellent written and verbal communication skills for professional interaction with staff, clients, and vendors
• Strong organizational skills with the ability to prioritize work in a fast-paced environment
• High level of integrity and ability to handle confidential financial and employee information
• English language proficiency required

Compensation
