Office Manager

We are a leading national consumer finance company with a 15-year legacy of stability and success. Following our recent acquisition and the appointment of a new CEO, we are entering a transformative chapter—pivoting toward a high-growth, tech-forward, and entrepreneurial future.

We are seeking an Office Operations & Events Manager to oversee and enhance daily administrative and operational functions across multiple office locations. This role will play a critical part in ensuring workplace efficiency, consistency, and a professional environment that supports both employees and leadership. Event coordination will be a secondary component of the role, with a focus on logistics and support.


Key Responsibilities

  • Oversee daily office operations across multiple locations, including managing vendor and property management relationships.
  • Manage office administration, including supplies, equipment, mail distribution, and overall workplace functionality.
  • Coordinate and manage incoming and outgoing mail, shipping, and package distribution processes.
  • Lead organization and periodic cleanout of office storage areas, ensuring proper inventory management, document retention, and disposal practices.
  • Coordinate space planning, office reconfigurations, furniture installations, and facility improvements.
  • Manage supplies, equipment, and overall workplace functionality to ensure operational efficiency.
  • Plan, coordinate, and execute company-wide meetings, corporate events, and dealer-facing events from concept through completion.
  • Manage event logistics, including travel, accommodations, vendors, entertainment, and on-site coordination.
  • Negotiate contracts with hotels, audiovisual providers, and other event-related vendors.
  • Maintain and manage operating and event budgets, including forecasting and expense tracking.
  • Identify and implement process improvements and automation opportunities across office operations and event workflows.
  • Ensure a consistent brand and experience across all office locations and events.
  • Provide exceptional service levels to internal stakeholders and external partners.
  • Perform other duties as required or assigned.

Qualifications

  • Experience: 0–3 years of experience in office operations, facilities management, or corporate event planning.
  • Skills:
    • Strong organizational, project management, and multitasking abilities.
    • Excellent written and verbal communication skills.
    • Ability to manage budgets and vendor contracts effectively.
    • Demonstrated ability to handle sensitive or confidential information with discretion.
  • Education:
    • High school diploma or equivalent required.
    • Bachelor’s degree or equivalent combination of education and experience required.
  • Technical Proficiency:
    • Proficient in Microsoft Office (Outlook, Excel, Word).
    • Familiarity with automation tools such as Microsoft Power Automate, Zapier, or similar platforms preferred.
  • Ability to thrive in a fast-paced, high-intensity, and evolving environment.

Location & Work Environment

  • Location: This position on-site at our Chadds Ford, PA office with multi-site office responsibilities.
  • Work Environment: Office-based, with occasional travel required for site visits and event coordination.
