OFFICE GENERALIST
MILITARY AND COMMERCIAL SUPPORT

POSITION SUMMARY

The Office Generalist serves as a key administrative partner across departments, ensuring timely communication, accurate documentation, and seamless coordination of shipments and office functions.

Reports To: VP of Business Development

KEY RESPONSIBILITIES
Operational & Administrative Support
? Accurately input and manage shipment data in MoveStar, DPS, and internal systems
? Maintain complete and organized digital and electronic shipment files (GBLs, inventories, manifests, etc.)
? Prepare electronic inventory folders and documentation in accordance with TOS requirements
? Coordinate delivery schedules with dispatch and ensure readiness of resources

Continuous Improvement (Growth)
? Identify process gaps and contribute to improved workflows
? Adapt to evolving technology and system enhancements (MoveStar, ERP integration)
? Support initiatives that drive efficiency, automation, and data accuracy

Customer & Partner Communication (Ohana)
? Respond promptly to customer and partner inquiries via phone and email

? Provide proactive updates on shipment status and delivery timelines
? Support resolution of customer concerns with professionalism and empathy

Billing, Compliance & Accuracy (Accountability)
? Audit and bill shipments in accordance with TOS timelines
? Ensure reweighs, authorizations, and documentation are completed accurately and timely
? Coordinate additional service approvals (e.g., long carries, extra labor, third-party services)
? Maintain compliance with military, FIDI, and company standards

Coordination & Cross-Functional Support (Teamwork)
? Work closely with dispatch and warehouse teams on scheduling changes and execution
? Assist with overflow and backup support across departments
? Coordinate with local agents, TSPs, and vendors for services and invoicing

GENERAL OFFICE DUTIES
? Answer and route incoming calls with professionalism
? Confirm next-day dispatch schedules
? Review and reconcile open transactions at month-end
? Assist in updating and creating operational forms and documents
? Serve as backup support for the administrative staff as needed
? Prepare reports and conduct research as requested

REQUIREMENTS
? High school diploma or GED required; coursework in business or accounting preferred
? Minimum two (2) years of office experience; moving industry experience preferred
? Strong computer skills with the ability to learn new systems quickly
? Ability to obtain U.S. Government security clearance (DPS access)
? Exceptional attention to detail and organizational skills
? Strong customer service and communication abilities
? Ability to prioritize, problem-solve, and adapt in a fast-paced environment
? Professional demeanor with a collaborative, team-first mindset

PHYSICAL DEMANDS
? Prolonged sitting, computer work, and phone use
? Ability to lift up to 30 pounds
? Visual acuity for detailed documentation and screen work
