The Office Coordinator is responsible for providing administrative and operational support to ensure smooth day-to-day operations of the insurance office, while also assisting with insurance-related processes. This role manages office functions, documentation, travel arrangements and serving as a key point of contact for internal staff

Essential Job Functions



+ Manage and prioritize inbound and outbound communications (phone, email, and written correspondence) to ensure timely, professional responses.


+ Provide comprehensive administrative support to leadership and staff, including calendar coordination, meeting logistics, and day-to-day office operations.


+ Maintain accurate departmental records and internal documentation, ensuring confidentiality, organization, and compliance with retention requirements.


+ Support adherence to office procedures and company policies by coordinating process updates, communicating requirements, and reinforcing standards.


+ Plan and coordinate department events and communications, partnering with management to align messaging, timelines, and participant needs.


+ Arrange business travel and related logistics, including itineraries, reservations, and expense ready documentation.


+ Coordinate employee office-program enrollments and renewals, tracking key dates and ensuring required approvals are completed.


+ Serve as the primary point of contact for office facilities and technology support by troubleshooting routine issues and coordinating repairs, vendors, and setup for new or expanding office locations (furniture, leases, internet, and utilities)



Education and/or Experience Required



+ Associate or bachelors degree in business administration or related field is preferred, not mandatory.


+ Minimum 1 year of experience in office administration, customer service.


+ Consideration is given to relevant experience and related certification.


+ A valid drivers license may be required, along with a driving record that meets the requirements of the companys insurance provider.
