The Office Coordinator ensures a welcoming and professional experience for all employees and visitors while providing high-quality administrative and operational support. This role works closely with internal teams, vendors, and building management to keep office operations running smoothly and efficiently. The Office Coordinator manages all reception and administrative functions to ensure the office is organized, stocked, and running efficiently. Key responsibilities include:
Front Desk & Communications:
Serve as the primary receptionist, warmly greeting and assisting all guests, visitors, and employees.
Manage all office correspondence, professionally answering and routing phone calls, and communicating updates via phone, email, and written means.
Office Operations & Logistics:
Maintain office efficiency by monitoring supply levels and coordinating orders for all Amwins Connect locations.
Manage vendor relations and oversee national accounts (e.g., FedEx, Amazon, Staples, Canteen, U-Line).
Act as the liaison with building management, submitting and tracking maintenance requests as needed.
Prepare and ship company materials and packages.
Ensure conference rooms are prepared and that the entire office environment remains clean and professional.
Data Management & Reporting:
Maintain and manage accurate data in spreadsheets, reports, and other databases.
Report office operations updates to senior management and recommend process improvements.
Review and maintain accurate, up-to-date carrier documentation.
Support & Coordination:
Coordinate meetings and events for the office.
Provide additional administrative support to the GST Administration Team as assigned.

High school diploma or GED required.
1–2 years of administrative, office coordination, or customer service experience; or an equivalent combination of education and experience.
Experience in a professional services or corporate office environment preferred.
Technical Skills
Proficiency in Microsoft Office Suite, especially Outlook, Word, and Excel.
Familiarity with Salesforce preferred.
Comfort working with spreadsheets, databases, and email communication tools.
Communication & Interpersonal Skills
Excellent verbal and written communication skills with a professional, courteous manner.
Strong attention to detail and accuracy in documentation.
Ability to manage time effectively, follow instructions, and meet deadlines.
Well-developed organizational skills with the ability to prioritize multiple tasks.
