Office Coordinator

ProSkill Services is a leading residential service company specializing in plumbing, heating, and air conditioning. Our mission is to deliver exceptional service and 100% customer satisfaction across the North Valley. We are seeking a highly organized, detail-oriented Marketing Coordinator to support daily operations, brand marketing, customer engagement, and company culture initiatives.

This role is ideal for someone who enjoys balancing administrative responsibilities with creative marketing projects. The successful candidate will assist with social media content creation, event planning, employee recognition programs, warranty registrations, collections support, financing administration, and ServiceTitan-related administrative tasks.

Key Responsibilities

• Marketing & Brand Management
• Create and manage social media content across multiple platforms.
• Assist with marketing campaigns and brand awareness initiatives.
• Assist with company newsletters, email marketing, and customer communications.
• Event Planning & Employee Engagement

Administrative Support

• Maintain accurate records, spreadsheets, and documentation.
• Assist with customer communications and internal coordination between departments.
• Warranty Registration & Install Administrations
• Maintain accurate equipment registration records.
• Coordinate with Install Managers, Warehouse Managers, Technicians, and Sales Teams regarding warranty requirements.
• Update customer records and installation invoices with warranty and equipment information.

ServiceTitan Administration

• Process and batch invoices daily.
• Support data entry and administrative functions within ServiceTitan.
• Generate reports and assist management with tracking operational metrics.
• Monitor and assist with collection of unpaid invoices

Qualifications

• 2+ years of administrative experience preferred.
• Marketing, social media, or event planning experience preferred.
• Strong organizational and multitasking skills.
• Excellent written and verbal communication skills.
• Experience with Microsoft Office, Google Workspace, and spreadsheets.
• Ability to manage multiple projects and deadlines.
• Professional and customer-focused attitude.
• Experience in HVAC, plumbing, home services, or construction industries is a plus.

Work Environment:

This position operates in an office environment and requires the ability to remain in a stationary position for extended periods of time. Frequently operates a computer and other standard office equipment.  Occasionally moves items up to 20 pounds. Ability to communicate and exchange accurate information with internal and external stakeholders is required. Must be able to work under centrally controlled fluorescent lighting.
