Position Title Office Associate FLSA Non-Exempt FT/PT Part Time Hours Per Week 20-25 Work Schedule Monday-Friday flexible Position Salary Range $20 hourly Summary

Performs all administrative and clerical duties for the DSS office. Accepts information from five counselors in the office and creates and organizes all paper and electronic files for students with disabilities. Creates and maintains a comprehensive and detailed data base for each semester of all enrolled students with disabilities. Requires a high level of confidentiality and the ability to work with a diverse staff and student population including persons with disabilities.

Essential Role Responsibilities

Monitors, maintains and responds daily to the DSS electronic mailbox and the SiteExecutive. Checks counselor list, creates memo and sends to student.

  • Downloads information from Colleague to ascertain student registration and produce accommodation memos.
  • Creates, organizes, enters information and maintains the office database.
  • Maintains the cohort management database for the DSS cohort.
  • Monitors and manages ordering office supplies for the 5 counselors and the assistive technology department.
  • Maintains paper files by removing and organizing active, inactive and pending files each semester.
  • Assists in the collection of data for reports for various outside agencies such as MHEC, MACC and CTE.
  • Works with various departments on campus such as IT, LAC, records and registration, finance, facilities.
  • Creates Purchase Orders, Blanket Purchase Orders, Purchase Requisitions and check requests for the department.
  • Works with CTE report to identify and track on roster which students with disabilities are enrolled and retained in career programs.

Minimum Education Required High School or equivalent Experience Required

  • High school diploma or equivalent required; Associates degree or equivalent work experience preferred
  • Excellent computer skills including knowledge of Microsoft 365 - Word, Excel, Access, One Drive, Google Drive, and Microsoft Teams
  • Ability to maintain strict confidentiality
  • Must be detail oriented.
  • Excellent interpersonal, organizational and time management skills needed.
  • Ability to learn and apply office procedures.
  • Ability to follow oral and written instructions.
  • Ability to maintain strict confidentiality.
  • Knowledge of basic office procedures and machines (e.g. copier, fax machine, scanner)
  • Knowledge of office and college policies and procedures
  • Performs all duties while considering the impact of any actions on the college's sustainability initiatives in the areas of environmental stewardship, social responsibility, and economic prosperity.
