The Office Assistant position is responsible for managing multiple tasks at our Louisdale LearningCenter in Springfield, VA. The schedule is Monday-Friday 7:30am-4:30pm.
Responsibilities:
General office duties including maintaining supply inventories, mail distribution, and sending/receiving packages
Monitoring activities at the Learning Center enter (e.g., staff sign-in, health screener completion, client drop-off/pick-up)
Create and maintain program materials used during intervention sessions
Assist in preparation for monthly training and orientation of new staff at the Learning Center (staff experience coordination)
Process I-9 Form to verify the identity and work eligibility of new employees hired
Responsible for keeping the office tidy and organized, including maintaining office equipment and decorating the area when appropriate
Facilitating repairs and maintenance
Answer the phone and retrieve voicemail. Respond to email in the OA mailbox
Assist with or manage same day staff and client cancellations. Assist or mange with client coverage as needed (e.g., identifying which BT should cover which client)
Coordinate with the territory operations team to assist with advance cancellation client coverage
Taking photos of staff events and coordinating with marketing
Additional responsibilities as requested by Clinical Director, Staff Support Manager, or other staff
Qualifications:
High School Diploma
Some experience in office setting preferred
Strong software proficiency with Microsoft Office Suite (Word, Excel, and Outlook)
Excellent customer service and communication skills
Proven ability to multi-task, prioritize and organize effectively
Strong attention to detail, accuracy, and follow-through
Ability to quickly learn new software programs as needed.
