Purpose of Position:
The purpose of the Office Assistant/Service Advisor is to have a responsible and dependable person able to operate the daily business of the front counter and manage the daily sales activities, either in association with, or in the absence of the business owner.
Qualifications:
An Office Assistant/Service Advisor must be able to clearly demonstrate their ability to set and reach performance goals. They must conduct every aspect of their job in an ethical manner. They must have the ability to sell recommended service; work well under pressure; and resolve customer as well as employee issues in a professional, expedient manner.
The Office Assistant/Service Advisor must also have the ability to assist in the managing and control of the technical productivity as well as be productive themselves per responsibilities listed below.
Areas of Responsibility:
The Office Assistant/Service Advisor is responsible for assisting or performing in the absence of the business owner all the daily productivity in the business. This responsibility includes but is not limited to: a dedication to the company’s mission statement, to employee development, to company profitability and to 100% customer satisfaction. Also, responsible for following the company policies and procedures as outlined here.
Specific Duties:
•Shuttle Driver – includes coordination of customer pick-up & delivery (when necessary)
•Answer Phones
•Customer Service – scheduling, greeting, check-in & check-out process
•Facilities Maintenance: cleaning front office, maintaining customer area & restroom. Outside clean-up.
•Filing
•Parts & core returns
•Shipping and Receiving
•Errands as assigned
•Perform other tasks related to the position as assigned.
•Maintain a clean and organized work space.
Specific Duties in Absence of Owner:
Primary phone Operator
Schedule Customer’s for work as requested
Coordination of production & monitor work flow through the shop to insure customer promise times are met
Customer service and sales interaction
Exiting scheduling, next maintenance scheduling, and recording all declined and recommended services in POS
Handle customer inquiry and complaints in an ethical manner
