In this role, you'll be the bridge between our team and the public, serving as the heartbeat of our Johnson City front office while providing critical project and financial administrative support to our technical teams.

The Impact You'll Make

  • Front Office & Culture Coordination: You'll manage the front lines, greeting clients and vendors warmly. Beyond first impressions, you'll be the spark behind our office vibrancy—planning events, holiday updates, and company "Lunch & Learn" sessions.
  • Project & Technical Support: You won't just file paperwork; you'll assist with Construction Contract Administration (CCA). You'll act as a key asset to our Project Managers by preparing, formatting, and assembling critical project documents, contracts, proposals, and Statements of Qualifications (SOQs).
  • Financial & Billing Support: Partner with our leadership team to finalize monthly invoices, manage critical distribution tracking sheets, handle expense management/petty cash, and generate monthly operational reports.
  • Facilities & Supply Management: Act as the central nervous system for our physical space—proactively managing office supply chains, coordinating conference room calendars, and serving as our primary facilities liaison for vendors and maintenance.

What You Bring to the Table

  • The Experience: 2+ years of proven success in administrative, clerical, or office coordination roles. If you have experience within the engineering, architecture, or construction consulting industries, that's a major plus.
  • The Tech-Savvy: You are highly proficient with Microsoft Office Suite (Word, Excel, Outlook) and comfortable navigating shared servers and digital document management systems.
  • The Detail & Communication: You possess sharp proofreading, typing, and formatting skills with a zero-tolerance approach to errors. Your verbal communication is warm and welcoming, and your written updates are clear and professional.
  • The Hustle: You have an incredible ability to prioritize shifting tasks, staying completely grounded whether you are managing petty cash or binding a last-minute proposal under tight deadlines.
