Full-Time Office Assistant I - Heart & Vascular Institute | UPMC Hamot

Schedule: Monday-Friday, 7:30 a.m. - 4:00 p.m. or 8:00 a.m. - 4:30 p.m.

Join the Heart & Vascular Institute at UPMC Hamot, a Cardiology practice that is part of a Certified Comprehensive Cardiac Center, recognized by The Joint Commission and the American Heart Association for excellence in cardiovascular care.

We are seeking a detail-oriented and customer-focused Office Assistant I to support the daily operations of our busy cardiology practice. The ideal candidate will thrive in a fast-paced healthcare environment and provide exceptional service to patients, providers, and clinical staff.

Preferred Experience:

  • One year of experience in a medical office or healthcare setting preferred
  • Appointment scheduling experience
  • Medical records management, including obtaining and scanning records
  • Patient registration experience
  • Strong organizational, communication, and customer service skills

Title and salary will be determined based upon education and experience.

Responsibilities:

  • Verify necessary information and records in the medical record and computerized scheduling system.
  • Schedule, coordinate, and reschedule patient's appointments.
  • Relay necessary messages to staff and providers.
  • Greet and register patients in a polite, prompt, helpful manner.
  • Provide any necessary instructions/directions.
  • Inform appropriate department/person of person's arrival performing appropriate check-in and check-out functions.
  • Maintain clean, orderly waiting area including beverage area and reading materials.
  • Prepare patient charts for upcoming appointments.
  • Answer telephone, screens calls, takes messages, and provides information.
  • Maintain and update current information on physician's schedules ensuring that patients are scheduled properly and appointments are confirmed.
  • Complete necessary paperwork such as encounter forms and referrals.
  • Use computer system to generate information necessary for billing.
  • Answer questions regarding patient appointments and testing.
  • Complies with all UPMC Health System policies and procedures.
  • Maintain strict confidentiality related to medical records and other data.
  • Utilize appropriate modules of the automated financial management system for scheduling, information verification, entering charges, co-payment collection/ reconciliation and other tasks.
  • High school diploma or GED is required.
  • 1 year work experience, preferably in a medical office setting.
  • Knowledge of medical terminology preferred.
  • Word processing and computer experience preferred.

Licensure, Certifications, and Clearances:

  • Act 34
