Join UPMC's Healthy Families Primary Care team as an Office Assistant I, where you'll play a key role in creating a welcoming and efficient experience for patients and providers. In this fast-paced position, you will support scheduling, patient registration, and front-office operations while collaborating with clinical staff to ensure seamless care delivery. Prior medical office, administrative, or scheduling experience is preferred, along with familiarity using Epic to help you succeed in this dynamic environment.
This full-time position will work Monday through Thursday between 7:00am and 5:30pm and Fridays from 7:00am to 2:30pm. No holidays or evenings are required, and weekends would only be required on a voluntary basis.
Title and starting pay rate of this position may vary based on years of experience.
Responsibilities:
- Verify necessary information and records in the medical record and computerized scheduling system.
- Schedule, coordinate, and reschedule patient's appointments.
- Relay necessary messages to staff and providers.
- Greet and register patients in a polite, prompt, helpful manner.
- Provide any necessary instructions/directions.
- Inform appropriate department/person of person's arrival performing appropriate check-in and check-out functions.
- Maintain clean, orderly waiting area including beverage area and reading materials.
- Prepare patient charts for upcoming appointments.
- Answer telephone, screens calls, takes messages, and provides information.
- Maintain and update current information on physician's schedules ensuring that patients are scheduled properly and appointments are confirmed.
- Complete necessary paperwork such as encounter forms and referrals.
- Use computer system to generate information necessary for billing.
- Answer questions regarding patient appointments and testing.
- Complies with all UPMC Health System policies and procedures.
- Maintain strict confidentiality related to medical records and other data.
- Utilize appropriate modules of the automated financial management system for scheduling, information verification, entering charges, co-payment collection/ reconciliation and other tasks.
- High school diploma or GED is required.
- 1 year work experience, preferably in a medical office setting.
- Knowledge of medical terminology preferred.
- Word processing and computer experience preferred.
Licensure, Certifications, and Clearances:
- Act 31 Child Abuse Reporting with renewal
- Act 33 with renewal
- Act 34 with renewal
- Act 73 FBI Clearance with renewal
