The Office Assistant / Coordinator is responsible for providing administrative, clerical, and operational support to ensure efficient day-to-day business functions. This role coordinates schedules, manages communications, maintains records, and supports organizational workflows in a fully remote environment.

The Office Assistant / Coordinator works closely with leadership, internal departments, and team members to maintain organization, efficiency, and effective communication across the company.

This is a fully remote position; however, applicants must currently reside in the United States and be legally authorized to work in the U.S. Applications from individuals residing outside the United States will not be considered.

Key Responsibilities

  • Provide administrative and operational support to internal teams and leadership
  • Coordinate calendars, appointments, meetings, and scheduling activities
  • Maintain digital records, files, and documentation systems
  • Respond to emails, phone calls, and internal communications professionally
  • Assist with data entry, reporting, and document preparation
  • Coordinate virtual meetings and maintain meeting notes when required
  • Support onboarding, workflow coordination, and operational processes
  • Track office-related expenses, invoices, and administrative records
  • Maintain confidentiality of company and client information
  • Assist with special projects and departmental initiatives as assigned

Required Qualifications

  • High school diploma or equivalent required; associate or bachelor's degree preferred
  • 1–4 years of experience in administrative support, office coordination, or operations assistance
  • Strong organizational and multitasking skills
  • Excellent written and verbal communication abilities
  • Proficiency in Microsoft Office applications including Word, Excel, Outlook, and PowerPoint
  • Strong attention to detail and time management skills
  • Ability to work independently in a remote environment
  • Strong problem-solving and customer service skills

Preferred Qualifications

  • Experience with collaboration tools such as Microsoft Teams, Zoom, or Google Workspace
  • Familiarity with project management tools such as Asana, Trello, or Monday.com
  • Experience supporting remote or hybrid teams
  • Basic bookkeeping, scheduling, or records management experience preferred
