There is a vacancy for a full-time secretarial support person for the Pupil Personnel Services Department. This position follows Civil Service guidelines in the job title Office Assistant (Automated Systems).
In order to be considered, candidates must hold the civil service title Office Assistant Automated Systems or be reachable on the corresponding list of eligibles for appointment by the Westchester County Department of Human Resources.
Requirements:
- Outstanding interpersonal skills: This position interfaces directly with students, teachers, other school personnel, parents and the general public. It requires the ability to deal effectively with people in person and on the telephone and to work well under pressure. Candidates must be responsible and dependable, self-starters, with good judgment, possess a strong work ethic and be able to maintain confidentiality.
- Excellent organizational skills: The position requires someone who can handle multiple simultaneous tasks expediently and with accuracy. Attention to details is eminent.
- Superior technical skills: Competence, combining speed and accuracy, in the use of office technology, particularly, Google Suite, Microsoft Word, Excel, PowerPoint and E-School.

Responsibilities:
- Provide clerical and office support services to the administrative staff of the Pupil Personnel Services Department including but not limited to: maintaining calendar, coordinating meetings, screening incoming telephone calls and walk-ins, open, screen and route incoming mail to appropriate party and assist parents, staff, and students with needs pertaining to Pupil Personnel Services.
- Utilize automated systems (i.e. Microsoft Office Suite, Google Suite, and eSchool) to produce correspondence, forms, reports, and other departmental data;
- Set up and maintain automated and manual filing systems;
- Maintain confidential records and files for Pupil Personnel Services as necessary, for reports, correspondence, inquiry responses, etc.;
- Handle inquiries from District personnel;
- Coordinate staff development meetings, workshops and other training sessions;
- Coordinate/set up/prepare documents for CPSE/CSE/504 meetings;
- Prepare mailings to parents/schools;
- Input IEP and 504 Accommodation Plans
- Manage the IEP direct student information system;
- Tracks compliance dates required by the Individuals with Disabilities Education Act (IDEA); and NYS Education Department;
- Act as liaison with technology for technology/software distribution as required;
- Follow district policy on purging student records;
- Complete requisitions for materials and supplies/student technology devices;
- Perform other related duties, as directed by the PPS Department.
Prerequisites:

Employment Terms
- 12 month probationary position
- Hours: 7:30 A.M. 3:30 P.M or 8:00 AM - 4:00 PM. The workweek is 35 hours, 7 hours per day.
- Salary and Benefits: Depending upon experience, salary range $45,441-$70,469. Benefits are consistent with the CSEA contract.
- Fingerprint Clearance: SAVE Law: Effective July 1, 2001, Education Law §§305(30), 3004-b, 3004-c and 3035, as amended by Chapter 180 of the Laws of 2000, and Part 87 of the Commissioner's Regulations require the Commissioner of Education to request a fingerprint-supported criminal history background check for applicants for certification as well as for prospective employees of school districts, charter schools and boards of cooperative educational services (BOCES). The Commissioner of Education carries out these responsibilities through the New York State Education Department's Office of School Personnel Review and Accountability (OSPRA).
