We are seeking a dependable, creative, and highly organized Office and Personal Assistant to support the President of a small, multi-business organization. This role blends personal assistant responsibilities, light design and event coordination, and general office and accounting support.
Approximately half of the role will involve personal and project support, including meeting the President at construction and design sites, assisting with creative tasks, and helping plan several large events throughout the year. The remaining portion will focus on administrative and basic accounting duties, providing coverage for the office team as needed.
Key Responsibilities
Personal and project support: accompany the President to job sites, assist with design-related tasks, gather materials, and help manage project details
Event coordination: assist with planning and executing approximately five major events annually, including vendor coordination, logistics, and creative input
General office administration: filing, scanning, organizing documents, and maintaining office order
Phone and communication support: answer and direct calls professionally
Basic accounting assistance: process invoices, support simple accounting tasks, and perform data entry in Excel and QuickBooks
Office operations support: manage office supplies and assist with small celebrations and internal needs
Executive support: provide reliable, proactive day-to-day assistance to the President and internal teams
Qualifications
At least one year of administrative or clerical experience
Strong Excel proficiency, including sorting, filtering, and basic formulas
QuickBooks experience preferred
Creative eye and interest in design or event coordination
Excellent communication and organizational skills
Ability to multitask, work independently, and adapt quickly
Positive, flexible, team-oriented attitude
Comfortable working at job sites and in an office environment
Pay-$26-$28 DOE
