The Office and Independent Contractor Coordinator is a key member of the team, responsible for a broad range of administrative, coordination, and compliance activities supporting both internal office functions and the onboarding and maintenance of independent contractor personnel. This role ensures efficient office operations, compliance with regulatory standards, and effective communication across various teams.
JOB DUTIES / RESPONSIBILITIES
- Provides administrative and project and Outlook calendar support for St. Mary's Home Care Administrator & CHHA Leadership. Acts as primary liaison between CHHA leadership, teams, customers, St. Mary's staff and vendors.
- Prepares and process human resource documents including Payroll Payment Requests, recruitment requests, salary increases, and terminations (includes use of web-based systems)
- Collects, prepares, maintains and distributes sensitive and confidential information in several forms, including Excel spreadsheets, PowerPoint presentations, Board Reports, and meeting minutes.
- Manages office operations and workflow (includes office moves, repairs and MIS requests), employee timekeeping for payroll, payroll discrepancies, maintenance/ordering of inventory of promotional and outreach resource materials for community health programs.
- Reviews and processes invoices and expense reports in timely manner, generates check requests and communicates with Finance and vendors to ensure proper payment and monthly account reconciliation for each program.
- Assists with planning, organization, management and delivery of special events, room bookings, projects and programs including serving on System-wide committees.
- Responds to, researches and resolves routine and more complex customer service issues and requests for information in an accurate/effective/timely manner. Refers clinical/electronic medical records and/or difficult issues to appropriate supervisory staff team as necessary.
- Maintains and updates accurate staff lists and grids.
- Runs and maintains reports as assigned (includes EMR).
- Grant management.
- Other duties as assigned.
Formal education required:
Associates Degree preferably in Secretarial Science or the equivalent and/or related experience preferred.
Previous experience required:
Requires sufficient knowledge of hardware, software, and telecommunications operations, business requirements and area workflow process.
Strong knowledge in Microsoft Office applications.
