Job Description
We are seeking a detail-oriented and proactive Office Administrator to support our R&D team and manage office operations. The ideal candidate will coordinate day-to-day administrative tasks, assist in research documentation, handle domestic and international travel bookings, and efficiently manage calendars and meetings for senior stakeholders.
Office Administration:
Oversee general office operations and ensure a well-maintained and organized workspace.
Maintain office supplies inventory and place orders as needed.
Handle incoming and outgoing correspondence, courier management, and file archiving.
Manage vendor coordination for office services and equipment maintenance.
R&D Support:
Provide administrative support to the R&D department including documentation, formatting technical reports, and data entry.
Assist in the coordination of R&D projects, tracking milestones and communicating with stakeholders.
Maintain confidentiality of research documents and sensitive information.
Liaise between R&D and other departments for workflow efficiency.
Travel Management:
Arrange domestic and international travel (flights, visas, accommodation, local transport) for employees.
Coordinate itineraries and ensure travel policies are followed.
Handle last-minute travel changes, cancellations, and re-bookings.
Calendar & Meeting Management:
Manage and schedule meetings, appointments, and conference calls for senior executives and R&D leadership.
Prepare and circulate meeting agendas, take minutes, and follow up on action items.
Set reminders and ensure time conflicts are avoided.
