The Nursing Department at Hofstra University is a part of the Hofstra Northwell School of Nursing and Physician Assistant Studies. It comprises both undergraduate and graduate clinical programs currently serving over 500 students with projections of continued expansion in student enrollment.
The Nursing Department Program Coordinator role is a dynamic combination of administrative, operational support, and project management that will help to support the teaching and research mission of the department. The successful incumbent will have excellent customer service and interpersonal skills, and exercise strong organizational and time-management skills with an exceptional attention to detail. They should be comfortable interacting with individuals at various levels within an institution, as well as the public, whenever necessary. Essential for this role is the adeptness to work independently as well as part of a team with a collaborative approach to problem solving.
CHARACTERISTIC DUTIES AND RESPONSIBILITIES:
- Provides administrative support to the Nursing Department Chair and Assistant Chairs, including coordinating meetings, implementing departmental initiatives, and supporting special projects.
- Coordinates academic and administrative operations for undergraduate and graduate nursing programs, including academic planning, course scheduling, program policies and procedures, degree audits, bulletin updates, advising materials, and grade reporting.
- Serves as a primary liaison among students, faculty, advisors, committees, and external stakeholders, and acts as a resource on university and departmental policies and procedures.
- Supports registration activities, including processing enrollment overrides with faculty approval, monitoring course enrollments, managing waitlists and course reserves, resolving registration conflicts, reviewing prerequisites, and coordinating student progression within nursing programs.
- Participates in the planning and coordination of semester course offerings and long-range scheduling for undergraduate and graduate programs.
- Assists faculty with course administration, including maintaining syllabi and course descriptions, tracking office hours, and supporting textbook orders.
- Coordinates administrative logistics for departmental events and guest speakers, including expense processing and record maintenance.
- Maintains accurate student and program records from admission through graduation in compliance with FERPA regulations.
- Prepares reports, statistics, and other documentation to support accreditation requirements, program assessment, data analysis, and departmental decision-making.
- Assists with the collection, compilation, and reporting of assessment and accreditation data in collaboration with departmental and institutional stakeholders.
- Prepares agendas, records meeting minutes, and maintains documentation for departmental meetings and committees.
- Ensures departmental and school websites, publications, and informational materials are current and accurate.
- Provides administrative support for experiential learning, extracurricular programs, and other initiatives within the Nursing Department and Dean's Office.
- Serves as backup support for departmental and main office operations and contributes to the delivery of high-quality services to students, faculty, and visitors.
- Performs additional duties, projects, and assignments as needed.
Qualifications
- Bachelor's degree required.
- 1-3 years of related administrative experience in an educational, healthcare, or similarly related setting.
- Strong communication, organizational, and teamwork skills.
- Commitment to fostering a culture of innovation, collaboration, and continuous learning.
- Experienced in utilizing internet resources, with advanced computer literacy and experience in Microsoft Office Suite applications.
Preferred Qualifications
- Master's degree in education, or a similar field.
- Previous experience within higher education administration.
- One or more years of experience providing administrative support to an office. Preferably within an educational or healthcare setting.
- Project management or event planning experience.
- Knowledge of student learning management systems such as Canvas.
