General Statement of Job

The Nursing Department Coordinator supports the operational, academic, and student service functions of the Nursing Department by providing comprehensive administrative, clerical, and advising support. This role maintains official departmental records, coordinates daily operations, assists faculty and students, and ensures efficient communication and workflow across academic, administrative, and student-facing processes. The coordinator serves as a central resource for faculty, staff, students, and the public, contributing to a positive, organized, and student-centered departmental environment.

Specific Duties and Responsibilities

Essential Duties:

Administrative & Departmental Operations

  • Manages the Department Chair’s calendar and independently schedules appointments.
  • Screens incoming calls, emails, and correspondence; responds independently when appropriate.
  • Serves as the primary receptionist for the department (in person and by phone).
  • Prepares confidential correspondence, reports, meeting minutes, and complex documents.
  • Maintains secure electronic and physical records, including syllabi, exams, rosters, grade reports, and departmental files.
  • Coordinates department meetings, events, programs, and conferences, including facilities, catering, speakers, and budget tracking.
  • Maintains departmental bulletin boards, communications, and mass mailings.
  • Tracks departmental budget information and assists with purchasing, inventory, and supply management (office, instructional, and skills lab supplies).
  • Maintains Missouri Highway Patrol Criminal Background Check processes as one of the

department’s primary contact.

  • Obtains and maintains notary public status.
  • Arranges complex travel plans and prepares related documentation.

Completes course/semester scheduling, advisor assignment, faculty load and compensation, and additional activities within the university software system, as designated by the department chair.

Academic & Student Support

  • Understands MSSU and Nursing Program degree requirements, catalog information, and academic policies.
  • Performs and interprets degree audits for declared nursing majors (NU01).
  • Provides a confidential, supportive environment for students to discuss academic needs, concerns, and goals.
  • Advises pre-nursing students regarding enrollment, program requirements, and support services.
  • Assists with student registration processes, including course schedule entry, waitlist management, and faculty system updates.
  • Maintains student files, advisee lists, retention tracking for first-time/full-time freshmen, and graduation paperwork.
  • Coordinates student evaluation processes and organizes letters of recommendation.
  • Conduct guided tours of nursing facilities and participate in recruitment fairs and community events.
  • Maintains coordination with administrative assistant databases for enrolled and non-enrolled pre-nursing students.

Faculty Support

  • Prepares instructional materials, documents, and communications for faculty and administration.
  • Supports faculty with technology applications, proctoring exams, data collection, and departmental reporting.
  • Assists with Human Subject Research Forms and other academic documentation.
  • Supervises student workers and assigns tasks as needed.

Education, Experience, and Licenses

  • High school diploma or GED required.
  • Bachelor’s degree in healthcare administration, Organizational Leadership or Management, or Business Administration required OR at least 3-5 years’ experience with business management or healthcare management OR equivalent combination of education and experience.
  • Previous academic advising experience preferred.

  • Strong organizational skills with the ability to multitask while maintaining accuracy and timeliness.
  • Ability to maintain strict confidentiality (FERPA compliance required).
  • Ability to work collaboratively in a positive, team-oriented environment.

Physical Demands/Work Environment

· Regularly required to use hands for typing, handling documents, and operating a computer.

  • Frequently required to sit, stand, walk, reach, stoop, kneel, or crouch.
  • Must occasionally lift and/or move up to 20 pounds.
  • Requires close, distance, color, and peripheral vision, depth perception, and ability to adjust focus.
  • Work environment noise level is usually moderate.
