FTE Nurse Manager - Ambulatory Services

Type: Full-Time (75 hours biweekly)

Job Description:

The Nurse Manager for our primary care and multi-specialty physician practices is a dual clinical and administrative leader responsible for the comprehensive oversight of both patient care and day-to-day clinic operations. This role extends beyond nursing supervision to include accountability for staff development, patient experience, quality improvement, and regulatory compliance. The Nurse Manager ensures the seamless integration of clinical excellence with operational efficiency, driving success through collaboration with providers, frontline staff, administrative teams, the Ambulatory operations team and senior leadership. This position is essential to advancing the strategic goals of the organization and fostering a culture of excellence in outpatient care.

Responsibilities:

  • Provide clinical and operational leadership to ensure delivery of safe, high-quality, evidence-based care in a primary care or multiple specialty clinics.
  • Develop, implement, and monitor clinic and administrative policies, procedures, and workflows to support regulatory compliance and operational best practices.
  • Direct daily clinical and administrative operations, including staffing schedules, room utilization, workflow optimization, and supply chain coordination.
  • Ensure timely onboarding and orientation of all clinical new hires, including EMR training, role-specific workflows, and customer service expectations.
  • Collaborate with the Ambulatory Medical Director on provider onboarding, EMR usage, productivity tracking, and clinical escalation pathways.
  • Lead and monitor quality and patient safety initiatives; collaborate with Quality and Social Impact teams to implement evidence-based protocols and track compliance.
  • Organize and facilitate daily huddles, monthly staff meetings, and multidisciplinary case conferences; prepare and distribute minutes and follow-up action plans.
  • Review and analyze clinic performance metrics including but not limited to patient volume, provider productivity, no-show rates, and wait times; coordinate with all stakeholders and implement improvements as needed.
  • Maintain budget accountability: monitor expenses, manage vendor contracts, track supply inventory via ERP systems, accountable for profit-loss management and meeting monthly targets, in collaboration with the Ambulatory operations team.
  • Partner with Marketing to promote service lines and physicians through events, digital platforms, printed collateral, and community outreach activities.
  • Serve as first-line responder to patient complaints and service recovery efforts, ensuring compassionate, timely resolution and documentation.
  • Oversee regulatory readiness including compliance with Joint Commission, DOH, OSHA, HIPAA, PCMH, and internal audits; lead site preparations for inspections.
  • Maintain an up-to-date clinical competency matrix; track staff licensures, certifications, in-service attendance, and required compliance trainings.
  • Support system-wide initiatives and communicate changes in workflows, technology, or policy to ensure consistent adoption across clinics.
  • Facilitate operational continuity and cross-coverage during provider or staff absences, including real-time problem solving and escalation.
  • Champion a positive, patient-centered culture by modeling professional behavior, recognition, accountability, and teamwork.
  • Collaborate with Ambulatory operations team and other departments including IT, Facilities, Compliance, and Human Resources to support practice goals.
  • Drive continuous improvement through an iterative implementation model: plan, pilot, review, and refine operational changes in real time.
  • Identify and recommend operational or staffing adjustments needed to meet departmental goals or address underperformance.
  • Other duties as assigned.

Requirements:

  • Bachelor of Science in Nursing (BSN) required; Master’s degree in Nursing or Healthcare Administration strongly preferred.
  • Current, unrestricted NYS Registered Nurse (RN) license 
  • Minimum of 3 years nursing experience, with at least 1 years in a leadership or management role, preferably within outpatient or multi-specialty clinic settings.
  • Minimum of 2 years practice management experience, with at least 1 years in a multi-physician practice, preferably within outpatient or multi-specialty clinic settings.
  • Demonstrated experience in operational management, revenue cycle operations, productivity benchmarks budgeting, and resource optimization.
  • Strong knowledge of regulatory standards, accreditation processes, and best practices for ambulatory healthcare.
  • Exceptional interpersonal, communication, and leadership skills.
  • Proven ability to inspire, mentor, and effectively manage diverse clinical teams.
  • Competence in utilizing electronic health records (EHRs) and healthcare technology platforms.
