    Overview

    Electric Boats Newport Engineering Office (NEO) is seeking an Administrative Assistant to work in the Middletown, RI office. The successful candidate will be working with groups of technical personnel providing products and services to the US Navy submarine programs.

    Key responsibilities include, but are not limited to, the following:

    • Process letters, transmittals, and related correspondences.
    • Develop, update, and maintain spreadsheets to support departmental and management reporting.
    • Enter, track, and maintain material data within department databases.
    • Manage inventory and replenishment of office supplies.
    • Receive, inspect, and route incoming packages and orders.
    • Initiate, coordinate, and track service requests for departmental copiers and telecommunications equipment.
    • Coordinate mail pickup, sorting, and delivery.
    • Maintain accurate and uptodate departmental organizational charts.
    • Coordinate onboarding activities for new employees.
    • Arrange travel reservations and prepare travel expense reports.
    • Support planning and execution of facility moves.
    • Manage conference room scheduling and departmental calendars.
    • Collect, organize, and prepare weekly departmental status reports.
    • Administer visitor access control and monitor onsite visitor activity.

    • Good communication and interactions with various personnel within the department and with visitors/contractors.
    • Flexible work schedule with occasional overtime to support project needs.
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
    • Strong written and verbal communication skills.
    • Demonstrated reliability, strong teamwork orientation, and a customer-focused mindset.
    • Ability to thrive in a dynamic, fast-paced environment with a high level of energy and initiative.

    Qualifications

    Required:

    • High school diploma or GED minimum.
    • Minimum of 5 years of professional administrative experience in an office environment.
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).

    Preferred:

    • Experience working with Concur travel systems.
