Multifamily Systems & Operations Manager
The Multifamily Systems & Operations Manager is a key member of the corporate team at The Dolben Company, based in our Woburn, MA office. This role is built for a seasoned multi-family housing professional who brings deep industry knowledge, hands-on experience with property management systems — including MRI Software — and the operational expertise to drive alignment across people, processes, and technology. As a central internal resource, this position partners closely with Accounting, Operations, Technology, Human Resources, and Marketing to maintain operational standards, support new initiatives, and lead continuous improvement across the organization. Travel throughout the portfolio is required.
As the Multifamily Systems & Operations Manager, your job functions include:
- Serving as an internal subject-matter resource for property management operations, providing recommendations for enhancements or changes to policies and procedures
- Reviewing audit results, action plans, and scoring; performing trend analysis to identify systemic issues or training gaps rooted in operational or industry-specific practices
- Ensuring the Operations Manual and Knowledge Base SharePoint resources reflect current industry standards and company practices
- Coordinating onboarding training, updating curricula, and developing training documentation, reference materials, and job aids that reflect multi-family operational workflows
- Reviewing Helpdesk tickets to identify recurring issues, root causes, and process breakdowns; recommending updates to policies, procedures, and training
- Analyzing and assessing current technology systems, platforms, and workflows — with a focus on property management systems including MRI Software — to identify gaps and opportunities for enhancement
- Collaborating with departments to understand operational needs and translating them into system and technology requirements
- Coordinating with software vendors and internal teams to support system integration and enhancements
- Acting as a liaison between technical teams and non-technical stakeholders to ensure clarity, alignment, and effective communication
- Supporting testing, validation, and user acceptance of new or enhanced systems
- Participating in new initiatives, rollouts, and organizational improvements; supporting change management efforts
What You Bring to Us:
- 5+ years of experience in multi-family operations, compliance, audit, training, systems implementation, or process improvement — industry experience is essential
- Proficiency with MRI Software; broad familiarity with property management platforms and operational technology strongly preferred
- Strong understanding of multi-family operations, internal controls, audit processes, and policy governance within a property management environment
- Experience working cross-functionally with Accounting, Operations, Marketing, Human Resources, and Technology teams
- Demonstrated ability to analyze complex workflows and translate findings into actionable, industry-informed improvements
- Strong documentation, communication, and training development skills
- Bachelor’s degree in business, Accounting, Information Systems, Operations, or a related field (or equivalent experience)
- Advanced proficiency with Microsoft Office and SharePoint; experience with LMS platforms a plus
- Willingness to travel throughout the portfolio as needed
