Job Summary:

The Multi-Site Scheduling Coordinator is responsible for maintaining, updating, and coordinating schedules across 90+ operational centers. This role ensures accurate calendar management, timely schedule updates, and effective communication between centers to support daily operations and staffing needs.

Essential Functions:

  • Manage and maintain scheduling calendars for 90+ centers.
  • Enter, update, and track schedule changes in scheduling and workforce management systems.
  • Coordinate staffing schedules and coverage requirements across multiple locations.
  • Monitor schedule conflicts and work with managers to resolve issues.
  • Ensure accurate and timely communication of schedule updates to center leadership and staff.
  • Generate scheduling reports and maintain scheduling records.
  • Support operational planning by monitoring staffing levels and schedule compliance.
  • Assist with special projects related to workforce scheduling and resource allocation.
  • Maintain confidentiality of employee and operational information.
  • Ensure adherence to company scheduling policies and procedures.

Education/Licensure/Certification:

High school diploma or equivalent; associate''s or bachelor''s degree preferred.

Required Knowledge:

Knowledge of general medical practices, Federal Confidentiality Law, HIPAA & ethics, and ability to work in both a medical and telehealth environment. Proficiency with scheduling software, Google Workspace, and calendar management systems.

Experience Required:

1-3 years of scheduling, administrative, operations, or workforce coordination experience.

Skill and Ability:

Strong organizational and time-management skills. Excellent attention to detail and data-entry accuracy. Ability to manage multiple priorities in a fast-paced environment. Strong communication and problem-solving skills.

Job or State Requirements

High school diploma or equivalent; associate''s or bachelor''s degree preferred.
