The Metro Transit Administrator is a support role that provides services essential to the organization's mission and day-to-day operations. This role provides executive-level support to the Executive Vice President/Chief Operating Officer (EVP/COO) of Metro Transit by managing highly sensitive and confidential administrative functions and coordinating with other divisions to advance operational priorities.

Job Responsibilities

  • Provides executive-level administrative support, handles confidential business matters, works independently on special assignments, and ensures smooth office operations.
  • Manages day-to-day executive administrative functions, including phone calls, calendar management, meeting scheduling, event coordination, records management, travel arrangements, expense reports, invoices, and correspondence.
  • Serves as a primary liaison between the EVP/COO of Metro Transit and the workforce to support timely communication and follow-through.
  • Operates independently in the absence of the EVP/COO of Metro Transit, engaging staff as needed and providing updates on issues requiring awareness or action.
  • Prepares agendas and supporting materials for meetings and related functions.
  • Supports coordination of management functions across Operations to improve mission alignment and execution.
  • Maintains working knowledge of department policies, procedures, and operating practices to perform responsibilities effectively and efficiently.
  • Tracks projects, programs, and performance measures and follows up on deliverables and due dates.
  • Performs initial review of budgetary information related to expenditures and researches operational issues.
  • Prepares and provides budget analyses and summary insights to support leadership decision-making.
  • Prepares materials for large mailings and drafts, summarizes, and assembles factual reports, letters, and memos in accordance with established standards, including coordinating distribution.
  • Produces statistical and narrative reports and proofreads and edits materials for accuracy, clarity, grammar, spelling, punctuation, and format.
  • Collects and organizes records, verifies data accuracy for reporting, and monitors and maintains financial transaction records.
  • Manages timekeeping and payroll processes for the EVP/COO of Metro Transit's direct reports, ensuring timely and accurate submission.
  • Receives and provides information to agency management officials, Commissioners, and personnel, and disseminates approved information to local, state, and federal officials and members of the public in person and by phone.

Interacts with agency officials, the Board of Commissioners, employees, external organizations, government officials, and the public regarding activities, schedules, and procedures.

  • Oversees projects assigned by the EVP/COO of Metro Transit, prioritizing and managing time-sensitive work to completion.
