JLM HR Consulting is recruiting on behalf of our client for an experienced and detail-oriented Meeting Planner / Scientific Conference Coordinator to support the planning and execution of scientific meetings, conferences, and related events. Our client is currently confidential and operates within the government contracting sector supporting federal health agencies.

The ideal candidate will have hands-on experience managing multiple meeting types, coordinating logistics and communications, and serving as a primary point of contact for government stakeholders. This role requires exceptional organization, communication, and project management skills in a fast-paced environment.

Key Responsibilities

  • Manage the day-to-day planning and execution of scientific meetings, conferences, workshops, and related events
  • Coordinate and oversee meeting logistics, timelines, deliverables, and participant communications
  • Serve as the primary point of contact for government customers and key stakeholders
  • Ensure accountability and follow-through on all meeting-related tasks and deliverables
  • Collaborate with internal teams, vendors, and external partners to ensure successful event execution
  • Monitor project schedules and proactively address issues to maintain deadlines and client expectations
  • Support virtual, hybrid, and in-person meeting formats as needed

Qualifications

  • Bachelor's degree required
  • Minimum of 2 years of scientific meeting and/or conference planning experience
  • Demonstrated experience managing multiple meeting types and concurrent projects
  • Experience overseeing meeting deliverables and participant communications
  • Proven ability to serve as the primary point of contact for government customers
  • Strong organizational, written, and verbal communication skills
  • Ability to work independently while managing competing priorities

Preferred Qualifications

  • Experience planning meetings for the National Institutes of Health (NIH)
  • Experience working for a government contractor
  • Familiarity with federal meeting requirements and stakeholder management
