Position Overview:
The Medical Support Assistant provides front-line administrative and customer service support within a clinical research hospital environment. This role supports patient admissions, appointment scheduling, reception services, and coordination of patient services while ensuring confidentiality, professionalism, and compliance with NIH policies.

Qualifications:
  • Job qualifications & certifications:
    • High School Diploma or GED (required).
    • NIH-required infectious disease documentation (measles, TB, influenza, etc.)
    • Completion of mandatory NIH training within 30 days of start.
    • Ability to obtain and maintain NIH ID badge.
  • Skills:
    • Strong customer service and communication skills.
    • Proficiency in Microsoft Word and Excel.
    • Ability to work in a fast-paced clinical environment.
    • Professional demeanor and emotional intelligence.
Key Responsibilities:
  • Provide in-person and telephone customer service to patients, families, and clinical staff.
  • Register and admit patients; update demographic information in electronic medical record systems.
  • Schedule, cancel, and manage patient appointments.
  • Monitor patient wait times and communicate delays appropriately.
  • Create and process patient travel vouchers and reimbursement documentation.
  • Maintain reception areas, issue patient ID wristbands, and respond to medical emergencies per guidelines.
  • Maintain strict patient confidentiality and Privacy Act compliance.
  • Support inpatient and outpatient care areas.
  • Float between Patient Support Services Department units as needed.
  • Maintain professional appearance and adhere to NIH dress code.
  • Comply with attendance, punctuality, and conduct standards.
