    GENERAL SUMMARY:

    Under direct supervision from a leader on the Leadership Salary Plan (grade M07 or below), provides comprehensive medical administrative and operational support to a high-volume surgical practice. This role requires strong organizational skills, attention to detail, and the ability to manage complex surgical calendars in a fast-paced clinical environment.

    Serves as a key point of coordination for surgeons, clinical staff, and patients, ensuring seamless scheduling, communication, and documentation processes. Utilizes knowledge of medical terminology, surgical workflows, and electronic medical records to support efficient department operations and enhance the patient experience.

    ESSENTIAL DUTIES AND RESPONSIBILITIES:

    • Manages and coordinates high-volume surgical calendars, including scheduling procedures, clinic visits, and related resources (e.g., operating rooms, equipment, and support staff).
    • Provides administrative support to assigned surgeon(s), ensuring efficient daily workflow and prioritization of tasks.
    • Schedules and confirms patient appointments, procedures, and follow-ups using EPIC electronic medical record system.
    • Facilitates completion and tracking of FMLA and disability paperwork, ensuring accuracy, timeliness, and compliance with organizational policies.
    • Acts as a liaison between patients, providers, and internal/external departments to coordinate care and resolve scheduling conflicts.
    • Maintains and updates patient records, ensuring all documentation is accurate and completed in a timely manner.
    • Handles incoming calls, messages, and correspondence with professionalism, providing information with courtesy and tact.
    • Assists with coordination of pre-operative and post-operative needs, including testing, clearances, and follow-up care.
    • Supports special projects and administrative initiatives as assigned by leadership.
    • Maintains confidentiality and complies with all HIPAA and organizational policies.

    EDUCATION/EXPERIENCE REQUIRED:

    • High school diploma or G.E.D. equivalent required.
    • Minimum of one (1) year experience in a medical office setting preferred.
    • Previous experience supporting a high-volume surgical practice strongly preferred.
    • Experience with EPIC or similar electronic medical record system preferred.
    • Experience with surgical scheduling and calendar management required.
    • Familiarity with FMLA and disability processes preferred.
    • Proficiency in Microsoft Office applications (Word, Excel, Outlook) required.
