JOB SUMMARYHealthRIGHT 360, a nonprofit organization and a family of programs, is committed to providing accessible and comprehensive healthcare services to vulnerable populations. By integrating physical and behavioral health, we empower individuals to overcome challenges by addressing social determinants of health, fostering resilience, and facilitating recovery.North County Serenity House (NCSH), a residential program of HealthRIGHT 360, was founded in 1966 to provide substance use disorder services in the community. NCSH provides a gender-responsive and trauma-informed environment, using evidence-based and best practices that recognize and account for the role that trauma frequently plays in substance use and criminal histories of women. For clients with co-occurring mental illness, we provide integrated substance use and mental health services which treat both conditions as primary. Our residential facility serves up to 120 women (with capacity for up to 20 children under 5 years of age) seeking recovery from substance use disorders.The Medical Scheduler plays a key role in supporting HealthRIGHT 360's mission by ensuring timely access to medical care for our clients. This position provides in-person administrative support to the medical team by coordinating and scheduling appointments, maintaining accurate records, and facilitating communication between clients, providers, and program staff. The Medical Scheduler helps ensure continuity of care by monitoring appointment attendance, following up on missed visits, and assisting clients in navigating medical services.KEY RESPONSIBILITIESAppointment Scheduling & Coordination•Schedule medical appointments for clients on-site and via telehealth.•Monitor and address requests from clients and staff for appointments.•Utilize EHR systems to identify the need for appointments.•Prioritize and schedule appointments to maximize providers' time.•Coordinate with medical providers to ensure efficient client flow.•Make follow-up calls for providers and confirm next day's appointments.•Locate clients and connect them with providers at scheduled times.Customer Service / Front Desk•Greet and provide superior customer service to guests, clients, and vendors.•Communicate clearly on the phone and in person and take and deliver messages accurately.•Assist and direct callers, clients, and visitors to appropriate employees or departments.Administration and Other Duties•Perform general administrative tasks such as filing, organizing, and data entry.•Process client data in electronic systems according to organizational guidelines.•Orient, train, and assist volunteers on front desk responsibilities.•Work independently and collaborate effectively in a team-oriented environment.•Adhere to HIPAA, 42 CFR Part 2, state behavioral health confidentiality laws, and other internal policies to protect sensitive client information.•Complete assigned training in a timely manner.And perform other assigned duties.QUALIFICATIONS•High school diploma or equivalent required.Certified Medical Assistant preferred.Bachelor's degree in related field preferred.•Valid First Aid and CPR certification or ability to obtain within 30 days of hire.Experience•Experience in medical office administration, patient scheduling, or customer service.•Experience utilizing EHR systems and Microsoft Office applications.•Experience with training other staff, volunteers, or interns preferred.
