Overview:
We’re currently hiring a Bilingual Front Desk Receptionist / Medical Receptionist (Spanish & English) to join our team at Academic Alliance in Dermatology in Tampa, Florida. This opportunity is ideal for someone who enjoys patient interaction, thrives in a busy medical office setting, and is comfortable multitasking throughout the day.
Schedule: Monday-Friday | 8:00 AM - 5:00 PM
In this role, you’ll serve as one of the first points of contact for patients while helping support the daily flow of the clinic. Responsibilities include greeting and checking patients in/out, answering phones, scheduling appointments, confirming insurance information, collecting copays, updating patient demographics, and coordinating communication between patients and the clinical team.
This is a fast-paced dermatology office environment, so strong customer service skills, professionalism, and the ability to stay organized are important. Bilingual communication in both Spanish and English is required for this position.
Academic Alliance in Dermatology, an affiliate of Anne Arundel Dermatology, operates more than 23 locations throughout Central and Southwest Florida. Led by Panos Vasiloudes, the practice provides comprehensive medical, surgical, and cosmetic dermatology services using advanced technology and treatment options.
Responsibilities:
What you'll do:
Serve as the primary front office contact for patients visiting the dermatology practice
Welcome patients upon arrival and assist with the full check-in/check-out process
Verify insurance coverage, update patient demographics, and maintain accurate medical records
Collect copays, balances, and process patient payments
Coordinate appointment scheduling, confirmations, rescheduling requests, and referrals
Answer high-volume incoming phone calls and direct messages to the appropriate department
Utilize electronic medical record (EMR) systems to document patient information and appointment updates
Review patient charts for accuracy and ensure all required paperwork and signatures are completed prior to visits
Monitor provider schedules and communicate patient flow updates with Medical Assistants and clinical staff
Assist with administrative support tasks including scanning, faxing, filing, and handling office correspondence
Help maintain front office organization and assist with supply and inventory tracking when needed
Support end-of-day reconciliation processes, reports, and payment balancing
Collaborate with both clinical and administrative team members to help maintain efficient daily operations
Deliver a high level of customer service while maintaining professionalism, empathy, and confidentiality in all patient interactions
Communicate effectively with both English-speaking and Spanish-speaking patients; bilingual Spanish/English fluency is required for this role
Qualifications:
Qualifications & Experience
High school diploma or equivalent (GED) required
Minimum of 2 years of recent customer-facing experience required; backgrounds in healthcare, hospitality, retail, or other fast-paced service environments are welcome
Previous experience working as a Medical Receptionist, Patient Coordinator, or Front Desk Receptionist in a medical office preferred
Dermatology, cosmetic, or specialty practice experience is a plus, but not required
Bilingual fluency in both English and Spanish is required for this position
Skills & Competencies
Strong verbal communication skills with the ability to provide excellent patient service in both English and Spanish
Ability to thrive in a busy, fast-paced medical office environment while managing multiple priorities at once
Detail-oriented with strong organizational and time management abilities
Comfortable handling sensitive patient information while maintaining HIPAA compliance and confidentiality
Experience navigating EMR/EHR systems and general computer programs preferred
Ability to professionally manage high call volumes, scheduling changes, and patient concerns
Familiarity with standard office equipment including multi-line phones, scanners, printers, copiers, and fax machines
Ability to work collaboratively with providers, Medical Assistants, and administrative staff to support clinic flow
Flexibility to travel to nearby clinic locations if coverage support is needed
Physical Requirements
Ability to remain seated for extended periods with occasional standing, walking, bending, and reaching throughout the workday
Frequent use of computers, keyboards, phones, and other office equipment requiring manual dexterity
Ability to occasionally lift or move office supplies and packages up to 30 pounds
Visual and hearing ability sufficient for computer-based work, phone communication, and patient interaction
