Position Summary:

Carroll Hospital is seeking a dedicated Medical Office Representative to join our team at the Kahlert Cancer Center. This full-time role supports the daily operations of a dynamic cancer care environment by delivering exceptional administrative and front-desk support to patients, providers, and staff. If you're passionate about helping others and thrive in a fast-paced medical setting, we'd love to hear from you.

Responsibilities:

  • Answer and direct incoming calls, take messages, and provide assistance as needed

  • Serve as the super user for all desk phones and manage a 6-line phone system

  • Use the EMR communication tool to relay accurate and detailed patient messages to clinicians

  • Greet and check in patients; queue arrivals in the EMR promptly and accurately

  • Maintain and order office and dietary supplies; manage copy machine and printer upkeep

  • Perform clerical duties including scanning, faxing, mailing, and photocopying documents

  • Process inpatient fee tickets and manage department mail and communications

  • Coordinate pre-authorizations, including communication with radiology, providers, patients, and insurers

  • Prepare accurate specialty referrals and ensure all necessary documentation is obtained

  • Collaborate closely with the scheduling team and providers to support patient care

  • Prepare documents for scanning and maintain integrity and accuracy in EMR indexing

  • Participate in quality improvement initiatives and seek clarity on new assignments

Qualifications:

  • Experience: 1-3 years in a medical office or healthcare environment required

  • Skills:

  • Strong communication and interpersonal abilities

  • Proficient in using multi-line phone systems and EMR platforms

  • Attention to detail and organizational skills

  • Ability to work in a fast-paced, patient-centered environment
