Be the First Impression That Sets the Standard.

Exceptional patient care begins long before treatment starts.

It begins with the person who answers the phone with confidence, welcomes every patient with warmth, keeps the clinic running smoothly, and makes people feel they came to the right place.

Phoenix Physical Therapy is opening our newest outpatient rehabilitation clinic in the heart of Koreatown, and we're looking for an outstanding Medical Front Desk Coordinator to become one of the founding members of our team.

This isn't just a receptionist position. You'll be the operational heartbeat of the clinic—coordinating patient flow, supporting our clinical staff, communicating with attorneys, insurance companies, and patients, and helping create an exceptional experience from the moment someone walks through our doors.

If you're organized, dependable, enjoy helping people, and thrive in a fast-paced medical environment, we'd love to meet you.

About Phoenix Physical Therapy

Phoenix Physical Therapy is part of Total Rehab Group, a growing healthcare organization committed to providing exceptional outpatient rehabilitation services throughout Southern California.

Our clinics specialize in orthopedic rehabilitation, personal injury recovery, and motor vehicle accident care, combining experienced clinicians, modern facilities, and compassionate service to help patients recover safely and confidently.

Our Koreatown clinic has been thoughtfully designed from the ground up, giving both patients and staff a professional, welcoming, and efficient environment where everyone can do their best work.

About the Role

As our Medical Front Desk Coordinator, you'll be responsible for keeping the clinic organized, efficient, and welcoming every single day.

You'll coordinate appointments, greet patients, answer phones, verify information, assist with scheduling, communicate with attorneys and medical providers when needed, and ensure our clinicians have the administrative support necessary to focus on patient care.

You'll work closely with Physical Therapists, Physical Therapist Assistants, rehabilitation aides, and leadership while becoming an essential part of the patient experience.

No two days are exactly alike, making this an ideal opportunity for someone who enjoys solving problems, staying organized, and working with people.

What You'll Do

  • Welcome every patient with professionalism, warmth, and exceptional customer service
  • Answer incoming phone calls and respond to patient inquiries
  • Schedule, confirm, and manage patient appointments
  • Register new patients and accurately enter demographic and insurance information
  • Verify insurance benefits and maintain accurate patient records
  • Collect co-payments and process patient paperwork
  • Coordinate communication with attorneys, adjusters, medical offices, and referral sources when appropriate
  • Assist with medical records requests and administrative documentation
  • Monitor daily schedules to maximize clinic efficiency
  • Support clinicians with administrative needs throughout the day
  • Maintain an organized, clean, and professional front office
  • Help create an outstanding experience for every patient from check-in through check-out

What We're Looking For

Required Qualifications

  • High school diploma or equivalent
  • Minimum one year of customer service or administrative experience
  • Excellent communication and interpersonal skills
  • Strong organizational skills with exceptional attention to detail
  • Ability to multitask in a fast-paced environment
  • Professional appearance and positive attitude
  • Strong computer skills and ability to learn new software quickly

Preferred Qualifications

  • Previous medical front office experience
  • Experience working in physical therapy, chiropractic, orthopedic, or outpatient medical practices
  • Familiarity with personal injury or motor vehicle accident cases
  • Experience with electronic medical record (EMR) systems
  • Bilingual in Spanish or Korean
  • Experience verifying insurance benefits and scheduling patients

If you have outstanding customer service skills and enjoy working in healthcare, we'd love to hear from you—even if you don't meet every preferred qualification.

What We Offer

  • Competitive hourly compensation based on experience
  • Health insurance
  • Paid time off
  • Paid sick leave
  • Paid holidays
  • Professional training and ongoing development
  • Monday through Friday schedule with optional Saturdays
  • Free on-site parking
  • Modern, newly built outpatient rehabilitation clinic
  • Supportive leadership and collaborative team environment
  • Opportunities for advancement as Total Rehab Group continues expanding throughout Southern California

Why Join Our Team?

A great front desk professional doesn't simply answer phones.

They create calm during busy moments, solve problems before they become issues, and make every patient feel welcomed and cared for.

At Phoenix Physical Therapy, we recognize that the front office sets the tone for the entire clinic. That's why we invest in our team, encourage professional growth, and foster an environment built on respect, teamwork, and accountability.

As one of the founding members of our Koreatown clinic, you'll have the opportunity to help shape our culture, establish workflows, and grow with an organization that is committed to delivering exceptional care—not only to our patients, but to our employees as well.

If you're looking for a career where your work genuinely matters and where you'll be surrounded by people who support one another, we'd love to meet you.
