Job Title: Medical Assistant - Back Office

Job Description

This back-office Medical Assistant role supports a busy Movement Disorder Center within an adult neurology practice, with a strong focus on phone-based patient coordination and occasional pediatric neurology clinic support. The position centers on managing patient calls, coordinating diagnostic testing, and collaborating closely with nurses and providers, while also rotating into a pediatric neurology clinic to support procedures for children with cerebral palsy.

Responsibilities

  • Answer a high volume of patient phone calls (approximately 90% of the role) and respond promptly, professionally, and with empathy.
  • Gather and document patient information accurately during phone calls and relay appropriate messages to nurses and providers.
  • Coordinate and place orders for MRIs, laboratory tests, and other diagnostic procedures needed for adult neurology patients.
  • Support the Movement Disorder Center by managing scheduling-related tasks, follow-up testing, and communication between patients and the care team.
  • Work in the Pediatric Neurology clinic on Mondays on a rotating basis with other medical assistants and the supervisor.
  • Assist the provider during pediatric neurology clinic days, where botulinum toxin (Botox) injections are administered to children with cerebral palsy to help relax muscles and improve range of motion.
  • Ensure accurate documentation of patient encounters, orders, and communications in the electronic medical record system (Epic).
  • Provide patient care support within the scope of a certified or registered medical assistant, following clinical protocols and safety guidelines.
  • Collaborate with nurses, providers, and other clinic staff to ensure coordinated, efficient, and patient-centered care.
  • Maintain patient confidentiality and comply with all clinic policies, procedures, and regulatory requirements.
  • Demonstrate reliability by adhering to a consistent, pre-agreed work schedule and communicating schedule needs in advance.

Essential Skills

  • Current CCMA (Certified Clinical Medical Assistant) or RMA (Registered Medical Assistant) credential.
  • At least 3 years of experience working as a Medical Assistant.
  • High school diploma or equivalent.
  • Current Basic Life Support (BLS) certification.
  • Proficiency in medical assisting, including routine clinical support tasks within scope of practice.
  • Experience providing patient care in an outpatient or clinic setting.
  • Ability to manage a high volume of phone-based patient interactions with strong communication and customer service skills.
  • Experience using Epic or similar electronic medical record (EMR) systems.
  • Strong attention to detail when placing orders for MRIs, labs, and other diagnostic tests.
  • Ability to work effectively in both adult neurology and pediatric clinic settings.

Additional Skills & Qualifications

  • Experience working in neurology or other specialty clinics is beneficial.
  • Prior exposure to pediatric patients, particularly those with complex conditions such as cerebral palsy, is an advantage.
  • Comfort supporting procedures such as botulinum toxin (Botox) injections under provider supervision.
  • Strong organizational skills and the ability to prioritize tasks in a fast-paced clinical environment.
  • Excellent verbal and written communication skills for interacting with patients, families, and multidisciplinary care teams.
  • Ability to demonstrate professionalism, empathy, and patience when working with patients and caregivers.
  • Interest in gaining experience with both adult neurology and pediatric neurology populations.
  • Motivation to showcase skills and add value within a large academic or specialty healthcare environment.

Work Environment

The role is primarily office-based in a Movement Disorder Center, with most work performed in a cubicle setting focused on phone and computer tasks rather than direct, in-room patient care. On Mondays, the Medical Assistant rotates into a Pediatric Neurology clinic located in a children's hospital, supporting providers during clinic sessions. The clinic uses Epic as its electronic medical record system. Work hours follow a daytime schedule, with options such as 7:30 a.m.-4:00 p.m., 8:00 a.m.-4:30 p.m., or 8:30 a.m.-5:00 p.m.; the selected start time should remain consistent and be clearly communicated to support reliable scheduling needs. The environment emphasizes teamwork, professional communication, and exposure to both adult neurology and pediatric neurology, offering opportunities to build specialized clinical experience.

Pay and Benefits

The pay range for this position is $19.00 - $22.00/hr.
